Jira Cloud Backups and Work Item History: A Complete Guide

Jira Cloud Backups and Work Item History.png

Jira Cloud backups play a key role in protecting your Jira data. They allow you to recover your Jira site after major problems or data loss.

However, backups don’t address every situation. At times, you may need to view the entire history of a work item, restore a deleted Jira ticket, identify who made changes to a field, or reverse unwanted changes without restoring your whole Jira site.

This is why it is better to use backups and be able to get the full Jira work item history. Backups help users restore their Jira instance. Work item history keeps the details of individual work items safe. This makes it easier to review changes or retrieve specific data needed.

In this article, we’ll explore what Jira Cloud backups can do, where they fall short, and how work item history offers an extra layer of protection for your team.

What Are Jira Cloud Backups?

Jira Cloud backups make a copy of your Jira data, allowing you to restore your site after data loss, migration, or other significant problems. Depending on the backup option you choose, backups can cover projects, work items, attachments, users, comments, boards, and other Jira configuration data.

Backups mainly serve disaster recovery. If your Jira site faces a major problem, a backup can help you recover your data and get your environment up and running again.

Why use Jira Cloud backups?

Regular backups help you:

  • Protect your Jira data from accidental loss.
  • Recover your Jira site after major incidents.
  • Prepare for migrations between Jira instances.
  • Meet internal backup and compliance requirements.

For many organisations, backups are an important part of a business continuity and disaster recovery plan.

Who can create Jira Cloud backups?

Jira admins can create backups of Jira Cloud using the Backup Manager. From this tool, admins can back up their Jira Cloud site.

Jira Cloud backups aim to protect your Jira site by saving its current data state. They include work items, comments, attachments, custom fields, boards, project settings, and other data needed for recovery or migration. However, Atlassian doesn’t list work item change history as a separate part of the backup. Native backups are meant for restoring your Jira environment after data loss, not for viewing, searching, or exporting the full history of changes made to individual work items.

How to create a Jira Cloud backup?

Creating a backup in Jira Cloud is simple:

  • Open Settings.
  • Go to Import and Export.
  • Open Backup Manager.

  • Select Create backup for cloud.
  • Once the backup is done, download the backup file if needed.

Limitations of backups in Jira Cloud

While Jira Cloud backups are useful for disaster recovery, they aren’t intended for daily work item management or audits.

Some key limitations of using backups in Jira include:

  • They are intended to restore an entire Jira environment, not individual work items.
  • Backup files are not an easy way to review work item history.
  • Restoring a single deleted work item is not supported through native backups.
  • Backups capture the state of your data at a particular moment, instead of providing a full timeline of every field change.
  • They do not provide detailed audit reports or simple exports of work item history.

For these reasons, many organisations use Jira Cloud backups along with apps that enable retrieval of the complete Jira work item history reports. Backups allow you to protect the Jira environment, while work item history provides detailed change tracking, supports recovery of individual work items, and assists with audits and compliance.

Adding Work Item History to Your Backup Strategy

Jira Cloud backups help you recover your Jira environment, but some daily tasks need a different method. Teams often require access to detailed work item history long after changes occur or when a work item is deleted.

This is where a dedicated work item history solution can support Jira Cloud backups by keeping historical data and making it simpler to recover or examine individual work items.

For example, Issue History for Jira (Work Item History) app offers features such as:

Export complete work item history in Excel / CSV

Using the app, you can create complete history reports of changes for one or multiple work items. This includes updates to fields, status changes, comments, and other events. You can use the exported history for audits, compliance reviews, incident investigations, or keeping long-term records.

Restore deleted work items

Restoring deleted work items is a common question among Jira admins in the Atlassian Community. Accidents happen, and users often want to recover one or a few deleted work items without impacting their entire Jira site.

Native Jira Cloud features don’t let you restore individual deleted work items. While backups can help recover an entire Jira site, restoring a full backup just to get back a few work items is usually not practical.

Issue History for Jira addresses this problem by enabling you to restore individual deleted work items without needing to restore the entire Jira environment.

Revert bulk changes

Accidental bulk updates are a common challenge for Jira admins. A single bulk edit can change hundreds or even thousands of work items in just a few clicks.

Finding all affected work items, checking what changed, and manually restoring previous values can take a lot of time.

Issue History for Jira simplifies this process by tracking bulk changes. It allows you to revert those changes, so you can restore the previous values without having to update each work item manually.

Automatically archive work item history

If you want more protection, the Issue History for Jira API lets you automatically save the complete history of your work items regularly. This creates a separate history archive that complements Jira Cloud backups.

Backups protect your Jira site, and the archived work item history helps you review changes, prepare for audits, and recover individual work items when necessary.
