Document management in Confluence and Jira: every attachment you touched, on one screen

Now it is Friday, someone asks about that number, and you genuinely cannot remember where the file lives.

This is the quiet cost of attachments. They sit inside individual work items and pages, which is exactly where they should be while you are working on them, and exactly the wrong place when you need to find one again three days later. There is no folder to browse, no recent files list, no trail back to what you actually worked on. It is the gap in document management in Confluence and Jira: every document your team needs is in there somewhere, and nothing shows you what you have.

How to view all attachments across your spaces

My files is the one you will use most. It is a running list of the documents you personally edited or uploaded, newest first, each one linked back to the work item or page it belongs to. Think of it as your undo button for "where was that file again."

Recent files widens the lens to the whole workspace. See what your team has been editing, and which documents people are actually opening and reading. That second part is quietly useful, high-traffic files tell you what matters right now.

Recent activity gives you the headline number: how many documents were updated across your site in the last 24 hours.

Active spaces lists the spaces where your document work is happening, with direct links in.

How to find an attachment you edited in Jira or Confluence

Back to that budget spreadsheet.

1. Open the Apps menu in Jira or Confluence and select ikuTeam Office.

2. Scan My files. Your Tuesday edit is right there, with a timestamp.

3. Hit Preview to check the numbers without opening anything.

4. Or click View in context to land straight on the work item, ready to edit again.

Four clicks, no guessing which space it was in.

Creating a Word, Excel, or PowerPoint document without leaving your work item

The dashboard is also where you start things, not just find them.

Say the sprint kicks off and you need a test matrix. Rather than navigating to the right page first, then attaching, then editing:

1. Click Create new document at the top of the dashboard.

2. Pick Word, Excel, or PowerPoint.

3. Search for the destination with plain text, JQL, or CQL, whichever suits how you think.

4. Name it and start editing immediately, right in the browser.

Already have the file on your machine? Upload existing document does the same thing in reverse: pick the file, search for where it should live, done. No opening the work item first.

Why attachments are the hard part of document management in Confluence

Attachments have always been the awkward middle ground of Atlassian file management. They are not in a document library, so there is nothing to browse. They are scattered by design, tied to the work item or page that needs them.

Editing them in place already removed the download and re-upload loop. The dashboard removes the other half of the problem: knowing what you have, where it is, and what changed. Together, that is the visibility layer that document management in Confluence and Jira has always been missing.

And because it is all native to Jira and Confluence, there is no cloud storage to connect and no Microsoft license required to open anything. Your attachments stay attachments. You just get a way to see them.
