Update on Collaborator Limit for Free Trello Workspaces

Hey Trello Community,

In case you missed our latest Work Life Blog post, free Workspaces in Trello will soon be limited to 10 collaborators. We’ll be introducing this new limit in phases:

  • Starting April 8, 2024: If your free Trello Workspace already has 10 or more collaborators, you won’t be able to add new collaborators to the Workspace, unless you upgrade your plan or reduce the number of collaborators to below the limit.

  • Starting May 20, 2024: If your free Trello Workspace has more than 10 collaborators, the boards in this Workspace will become view-only. You’ll be able to see all the boards in the Workspace but won’t be able to make changes, unless you upgrade your plan or reduce the number of collaborators to below the limit.

This change in collaborator limits is consistent with those in place for the free editions of other Atlassian products. You may receive some emails and in-product messaging with actions to take if you’re over the 10 collaborator limit and would like to remain on the free edition of Trello Workspaces.

I see we are starting to have to pay for workspaces with more than 10 users. I have a workspace with 2 guest users that made their own boards. I cannot remove the boards and I cannot remove the guests. What to do? @Erika Storli

@Nick Ross We'll be making some improvements to the admin capabilities for free Workspaces so that you'll be able to fully remove any guest or member. We'll have that in place by the time the limit starts to take effect in April.

So this is a problem for me. I just signed up a few days ago to manage a youth-led Youtube channel. This is part of a non-profit. We will have just over 10 users. I can't go from free to over $100 per month. There's got to be some middle ground here. Asana offers unlimited free guests on their starter plan.

@Aaron Keyes A few things that might help:

  1. We have discounts available for non-profits: https://support.atlassian.com/trello/docs/non-profit-and-educational-discounts/
  2. If your Workspace isn't eligible for the non-profit discount for some reason, Trello Standard also has unlimited collaborators at a lower price point than Trello Premium ($5 per user per month vs. $10 per user per month)
  3. Guests that are only on one board are free on all of Trello's paid plans: https://support.atlassian.com/trello/docs/how-billing-works-with-trello-premium-and-standard/

I work with many other softwares and Trello has a very generous free offering, even with this change. 

 

For those worried about the cost, you can make use of single-board guest rule to gain the additional features while keeping costs down

 

Lastly, Trello Standard is a relative bargain v's the competition out there at $5/month and is plenty good enough for the majority of use cases. 

 

If anyone affected by this wants help to make their workspace as cost efficient as possible, feel free to contact me.

If I use the free workspace, can only 10 people use it, including administrators and guests?

 

For one workspace that already has 10 admins, if I join one board as a guest, can I join for free?

Hello, this update is disappointing. Just earlier this calendar year, I selected Trello as the platform I would use to share organizational updates with my academic team of roughly 20 members. I made this choice based on Trello's descriptions of its services, which are now changing. I am worried I will have to start all over again finding a different platform. Does everyone who accesses the board need to have a paid membership to view? Or can just I host a subscription account? My colleagues do not have funds designated for this kind of platform. Thank you for any support or guidance you may have.

Trelo has changed its policy from April 8th to 10 workspaces member limit.

There are a total of 83 people on the free workspace board I'm currently using. If I want to keep this board, do I have to pay for all 83 accounts?
Or, can the rest of the free 82 members see the board if I pay for just one Admin account, the owner of the board?

Hi, I am using trello in the academia. I have over 70 students annualy who join via link. 

1) are they all considered collaborators?

2) how can I proceed using the boards, obviously I will not be able to pay so much.

Firstly, I would say that based on my pretty extensive research and knowledge of the productivity space, I would say that for your needs, Trello will still be just about the most value-for-money option you will find.

With what you say, are your 20 members operating from a single board?

If so, I suggest upgrading 1 workspace member (yourself) to Trello Standard and keep the rest of the members as single board guests...This will only gost $5/month and as a bonus you get some cool additional features, like custom fields and higher automation limits

If those 83 people are on only 1 Trello board, you can upgrade just 1 account to Trello Standard @$5USD/mo and the other 82 people will be free single-board guests.

You may be able to qualify for the educational discount:

  1. If they accepted the invite by link, they are considered collaborators and will be counted toward the limit
  2. I would propose whether you can have these collaborators only on 1 board in your workspace.  Single-board guest is an excellent way to keep costs down.  You can subscribe to Trello standard for as little as $5USD/mo and as long as the invited collaborators are only on 1 board in the workspace, you can have as many as you want for free

Thank you for the reply. I am teaching different classes, so having all share the same board will be extremely chaotic.

I will try check the educational discount, and if it doesn't meet my budget, I will need to find another solution.

Remember, this change doesn't prevent you having multiple workspaces.  I would be happy to spend a few minutes looking at your current structure and proposing an optimised setup...

Hi there,

This is a helpful thread - thank you.

I have multiple boards with more than 10 people in them.

If I am part of all of them, and I pay for the $5 a month plan, does that mean I can continue to have more than 10 collaborators (unpaid) on the boards?

Do I (as a paid member) have to be admin on all these boards in order to continue to have more than 10 collaborators (unpaid) on the boards?

The workspaces of my Enterprise account are all paid workspaces.
STOP sending messages on new restrictions as a banner on all (paid) boards,

we need more information on this - 1 month warning?!! 

we have 20 members on our workspace - going from free to a minimum of £200 per month is ridiculous, there needs to be some offer for those of us that have been using it for years and now we have made the mistake of Trello becoming a pivotal part of our group we are now being forced to pay a fortune for the same service.

Well this is very unfortunate situation where we have only 1 month to migrate or forced to pay 4200 USD standard for workspace with 7 boards and 280 collaborators. We used Trello from years and like many others here it become essential to our workflow. Now the only option is to keep with 1 board and all collaborators being inside and this will be a nightmare to manage. For our business no one charges us such amount of money per year - 4200 USD for standard and over 8K for premium? These rates are ridiculous totally insane and not adequate to any business out there. Collaborators in our case are people we work with that submit music to us for our review, so for that management we have to pay these money for allowing them to part in Trello? Totally not planned well and forced us in 1 month only! How we can find solution for 1 month, shocking....

We have 39 collaborators on 1 board / workspace. You've stated in an earlier comment that Trello Standard has unlimited collaborators for $5 per user. When you say 'user', do you mean 'collaborator', meaning a cost of $195 per month, or would we be paying just $5 per month?

Guys I work on an educational institute that has an account with approximately 50 boards included shared with 50-100 users.

Would like more info on pricing and how to get discount for educational projects.
