is there a macro that will show pages that have not been updated in X days?

liana.marr@d2l.com August 3, 2023

We are looking for a way to flag pages within our various spaces in our home or main page that lists pages that have not been updated in "x" amount of days - essentially identifying stale documentation that has not been updated in an allotted period - or not at all (so creation = modification). We are already using the what's new in our pages but wanted to know a way to list pages that in these cases, would not be considered "new" or updated.

Hi liana.marr@d2l.com ,

We make the addon Keep it up to date!, which displays a table of outdated pages.  The addon is free to use.

Hello liana.marr@d2l.com

Other solutions outside of the box can be found via the Atlassian marketplace. Would this be something of your interest?

Here are multiple ways to organize this; you could find a solution within the Expiry condition within Comala Document Management, or a control center within Better Content Archiving and Breeze Document Management. Our team as well develops and maintains Viewtracker for Confluence, which seeks to provide you with a centralized hub and reveal how your users interact with your content.

Perhaps some of these tools suit your use case?

With friendly regards and all the best

HI liana.marr@d2l.com

Flagging I don't see as an option.

Within Confluence Automation there is a rule in the library called:

Notify people about inactive pages when scheduled (recurring)

You could extend or modify this rule to suite you wishes. This rule send out an email, you could also modify it to add a label for example and have a page where all pages with this label are shown.

I would advise to also create a rule that if one of these pages will be updated that the label will be removed

Hi, do you have an example of this rule? I've attempted to build this several ways (where the rule runs on an annually scheduled basis and labels pages that have not been updated within the last year, except for those that have the 'evergreen' label applied). Each time I test the rule, it does not seem to accurately apply.

Hi @CSanders_fhi360_org

It's in a default rule in Confluence, like a template.

Go to Confluence Automation (available with a premium Confluence subscription) and there is a templates section, there you will find the rule.

Hi @Marc - Devoteam - thanks so much for your helpful reply! I was able to locate the template in Confluence, but I'm encountering issues when I try to adjust/modify the rule template to fit our team's use-case.

I have replaced the template's 'inactive' branch rule, because Confluence defines 'inactive' as a page that has not been viewed; I would prefer to use the last updated date for each page instead.

I've included a screenshot of my current rule below, which is accurately applying to some pages in our team space, but not others. (For example, there is one page where the last updated date is in April 2024, with no page labels, and the automation does not add the 'annual review' label as specified.)

Not sure if my issue is how 'last modified' is defined, or if there's a limit on pages for rule automation, or if it's user error...Do you have any suggested adjustments to my rule?

(Also worth noting that I am testing this rule using a manual trigger, rather than scheduled in our sandbox environment.)
