Before I explain my question, please note that this topic isn’t meant to advertise plugins on the Atlassian Marketplace.
Confluence currently provides a space archiving feature in the space tool settings, which places the archived space into an “Archive” tab within the space directory.
This seems rather limited, as there are several aspects of archiving that feel overlooked. Archiving is crucial for record-keeping and data management, yet it lacks some key functionalities which is critical to make sure we comply with data retention standards.
Archived spaces can still be accessed by users who select “Show Archived Content” from the search page. This essentially bypasses the archive’s purpose and doesn’t support restrictions on older content that we’d prefer to keep hidden.
Unlike archived pages, archived spaces do not display any message indicating they’re archived. This lack of visibility means users may not realise they’re viewing content that should be treated as historical.
There’s no indication of when a space was archived, which poses challenges for compliance with our data retention standards.
It feels like the archive feature is incomplete in providing the control, visibility, and tracking needed for proper archival management. Is there any plan for Atlassian to address these gaps directly within Confluence, or to expand the feature to include stricter access limitations, clear archive notifications, and date-stamping?
Hi @Martin James or Martin James, (first time I've seen the @ feature not pull up the name)
By your very well defined definition of Archive, I think most of us would agree that the Confluence Archive feature falls short.
I don't think the usual suspects who answer questions here can tell you if this feature will eventually achieve your definition and, if so, when.
I would join you in wishing it would improve, but it doesn't rank in my top 10.
I would suspect there is a Marketplace app that would help, and I am probably not wrong in suspecting you can tell us about one.
