Hello, 

We want to take a knowledge base tool, but we have many questions

- If tomorrow we have to stop, can we recover the data easily?

- Is it possible to search for documents shared in Sharepoint?

- Can we easily add additional licenses?

Answering to your questions ;)

  • If tomorrow you had to stop using Atlassian Confluence, it is possible to easily recover your data. Confluence has a built-in data backup feature that allows you to backup your data on a regular basis. You can also export all of your content and attachments from Confluence in a variety of formats including HTML, XML, and PDF, which can be used to import your data into other systems if needed.
  • While Confluence does not have native integration with Microsoft SharePoint, it is possible to search for documents shared in SharePoint by using Confluence's search functionality.
  • And the last... Yes, adding additional licenses to Confluence is a straightforward process. You can purchase additional licenses through Atlassian's website or through an Atlassian partner, and then easily add the new licenses to your Confluence instance through the administration settings.

Based on my understanding of you questions:

  1. Confluence does offer export functionality so you wouldn't lose your data unexpectedly: https://support.atlassian.com/confluence-cloud/docs/export-content-to-word-pdf-html-and-xml/
  2. This isn't currently available through Confluence search as it's an external tool. You can add links to sharepoint in Confluence pages to quickly reference specific content there.
  3. Yes! This is very straightforward and is as simple as adding a user to a group or granting the user a license individually.
