Is it possible, without the analytics offered with premium, to see _all_ the changes in a space?

Michael Torok July 3, 2023

Hi,

Right now, I am using the Recently Updated macro to attempt to capture the updates, additions, and creation of items within a space. The problem is that this does exactly what it says, the last update is the only update listed (I mistakenly thought that recent would mean within a timebox/window--it does not).

So, my colleague makes 15 changes that are very important to the content and quality of an article, but I add a space after a period and all of their changes go unrecognized by the macro.

Can anyone help me work around this issue?

Thank you,

Michael

@Michael Torok welcome to the Atlassian Community.

The first thing you should know is that even on Premium, the Analytics are not as granular as in your question. You cannot use them to see the specific changes on a page or in a space, only the number of changes that have been committed and by who - but not the content that changed.

Your use case is basically trying to do is create a report based on each page's change log. For this you may need to use a CLI to pull the data or find a version control app that will allow you to see all of the different versions and changes in a page like Scroll Documents for Confluence.

I hope this helps.

Thank you, Andy.

I'll see if I can get help looking into the CLI option, and do a bit more research into the Scroll Documents option, as well.

The Better Content Archiving app provides at least three features to support this type of work.

1. Confluence dashboards (per site or per space)

You can view the most frequently updated pages, which gives you an idea where to review the changes your colleagues make:

2. A custom automatic status to mark what to review

You could introduce a custom page status  "To review". If a page was updated in the last 3 days, for example, it could go to this status.

Then you could use the Content Status List macro to list the pages in this status. You can, of course, use the macro in any page, allowing you to build custom reports:

3. Custom notification about what to review

You could send custom email notifications about the contents in the "To review" status. This shows an email example using the "Expired" status:

You could send it once a day with the list of all those contents, to review them in batch. (But, because the schedule can be customized, you could use your ideal schedule.)

Overall, you should try to app because it addresses content lifecycle management, review workflow and other related use cases.

Hello @Michael Torok

If you have no objections to apps from 3rd party vendors, the Viewtracker app meets your requirement.

With the Content & Usage Report and its filters, you can quickly create a list of all content that was created or edited in the desired time period and also cover additional use cases.

As an employee of the vendor of this app, I am biased. I recommend looking as well at the other apps that may offer a solution for your requirement.

Best regards,
Mattia

Hi Mattia,

Thank you for pointing me to the Viewtracker app. When asked how many users, in reference to pricing for the app, is that how many users are in our instance of Confluence or how many users there will be of the app itself.

Thanks,
Michael

Hello @Michael Torok

according to Atlassian's guidelines, the license tier for the app should be that of the Atlassian host product (i.e. Confluence in this case). It is not possible to obtain a lower user tier license for the app than that of the product.

Best regards,
Mattia
