Is a third party tool required to build a workflow in Confluence?

Marc Jara April 22, 2024

Within the native Confluence solution, I am unable to locate a Workflow tool allowing me to create workflows for various document approvals. I do see third party tools covering this functionality but with an additional cost. I was under the impression this could be done in Confluence out of the box?

Hi @Marc Jara

You will need an app for robust approval management. Natively Confluence offers statuses for pages, but these are fairly basic. With the new Automation in Confluence you can do some additional actions, like change the status of a page with a task is completed or notify people when the status of a page changes.

Hello @Marc Jara

Proper multi-stage approval workflow? No.

There is the new 'page verified' status label and I guess you can use for workflow purposes. I wonder if this could be utilized with the currently early access Live Edit mode (thru permissions).

Depending on complexity of your workflow and approvals, you have quite a few options in the marketplace.

We're using Comala Document Approval (the simplest offering of the Appfire/Comala approval apps) in sync with Comala Publishing and Scroll Viewport to make sure that only final content makes it to our doc center.
