How to link tables from one page to another page for training traceability

Would like to trace the training progression/status for all individuals from their respective pages (employee's pages), which contains table of training programs and I would like to track status of each training program for each employee into single table in a single page (will treat this page as all-employee training traceability). The time when an employee recieves new training program in his/her training page/table, traceability page should automatically get updated with this new program as well as status of this program. Note that employee training page contains table with column headings: Training Name and Status (done or in progress). Your help is highly appreciated.

Hi @Naveen Basar ,

If your employees create and update one-row tables on their local pages, you may collect the combined table using the standard Page Properties/Page Properties Report macros (these macros are native Confluence macros).

If you need to collect multiple-row tables across your Confluence instance, we can suggest using our app - Table Filter and Charts for Confluence.

Our Table Excerpt/Table Excerpt Include macros will do the trick and other macros (such as Table Filter, Pivot Table and Chart from Table) will further help you to filter, aggregate and visualize your data.

Hi @Katerina Kovriga {Stiltsoft}  I tried page properties and Page properties report and also tried Tabe excerpt/Table excerpt include, but it is bringing what was there in employee's page (same table information), and it was the same table in 'traceability' page with employee name on the top of the table. If I follow the same procedure, i will get all the tables from each employee's page into Traceability page. However, one useful thing observed is the tables in the traceability page gets autoupdated if I add anything extra in the employee's page. I am afraid what if I have 200 employees and I need to track their training progression in a single page from their individual pages? I will give you the scenario, your help will be highly appreciated: Each employee of our company should undergo training activities, lets say, initially there will be 10 programs when they join, each employee should complete all the training activities within one month and report the status to manager, manager will approve their training status, and manager should maintain training traceability for all the employees in a single sheet (consolidated) and also he should add status for all the newly added training programs from employee sheets. I would like this to be automated. Please provide your suggestions.

Maybe I didn't get your case, so let me rephrase it once more:

  1. Every employee has several training programs
  2. He/she creates a new page for every program with a standard one-row table at the top of the page: Employee / Training name / Status
  3. Each table is wrapped into the Page Properties macro
  4. Your manager has his/her own page with the Page Properties Report macro and sees the big multiple-row table for all the employees (with the same columns: Page Title / Employee / Training name / Status)
  5. To filter this big table and search for the specific employee and training program, use the Table Filter macro
  6. If the employee updates his/her table (status, I mean) the big table for the manager will be updated automatically as well
  7. If the manager wants to update the status him(her)self, he/she clicks the page title links of the Page Properties Report, goes to the employee's page and updates the original mini-table
  8. If this step is too time consuming, you may use our Handy Macros app and its Handy Status macro and change the statuses directly from the Page Properties Report macro (such changes will be passed to the original mini-table as well)

So, that is all I could come up at the moment.

Thanks for your time in replying. Point#4 was not the case in my case with table excerpt include, it is creating individual tables with employee name, like if i have 4 employees, i will get 4 tables in traceability page along with training programs and status (with employee name on the top of each table). With page properties, I will get all employee names in a single table, but I will get only first row of their table, which indicates first training program and status, rest all cannot be seen in my traceability sheet tables.

Don't get what you mean by the 4 tables collected by the Table Excerpt Include macro - here is a similar use case where we collect multiple-row tables in Confluence Cloud. Please check the screenshots - you'll be able to get one combined table.

Just don't put an employee name somewhere near the table - create tables with 3 columns:

Employee | Training     | Status

Katerina    | Marketing | Done

Katerina    | Sales         | In Progress

Your manager will be able to filter the combined report by Employee and find everything he/she needs.

Hi @Katerina Kovriga {Stiltsoft} at step #3 mentioned above, I have created a required table in "Page Properties" Macro for an employee as suggested by you with column headings like Name, Task, Status. Repeated same format for 3 employees in different pages. At step 4, i have created Page Properties Report macro and added labels of Page Properties of all employees. Then I can see only first row of the table of respective empoyee's table. Below is the example of table in Employee's page.

Naveen's page

Employee Name   Tasks                        Status

Naveen                 Sales training           Done

Naveen                 Information Security Done

 

Maggy's page

Employee Name   Tasks                        Status

Maggy                 Confluence training        Done

Maggy                 Google Training              Done

 

In my "page properties Report", I can see only first row of the table for Naveen and other employees as mentioned below, rest of the rows are not visible on my page properties report page. This is the same case for all the employees.

Employee Name   Tasks                        Status

Naveen                 Sales training           Done

Maggy                  Confluence Training Done

 

Hope I conveyed my issue in the above example, this has been happening from the beginning.

Please suggest where I went wrong.

PS: I could not find Table Transformation or Table merge or any other features related to tables mentioned above in the confluence insert option.

The Page Properties Report macro collects only one-row tables.

As I have mentioned before, Table Excerpt/Table Excerpt Include macros collect multiple-row tables, but they come with the Table Filter and Charts for Confluence app - it's a paid add-on.

Hi @Naveen Basar 

I think you may try the following:

  • Create a search filter, including all respective projects and issue types and statuses you need.
  • Save the filter
  • Create a board in your project, where you want the new board to be and go to -> Board settings
  • In General -> Filter select the new created filter
  • Then go to swimlanes and there you may create a different swimlane for each employee with JQL (ex. Project = "X"
  • Go back to the board and see if it's what you need.
