Can we achieve automatic page status updates without using the Better Content Archiving App

venkata naram August 22, 2024

I want to manage the content lifecycle for my Confluence pages by automating the archiving process, identifying expired and not-viewed pages, and sending custom notifications without using the Better Content Archiving app due to its associated cost. Is there any option to achieve this through CQL?

Automation rules (suggested by @Shawn Doyle - ReleaseTEAM ) could work, but with several traps and limitations.

Full disclosure: I am a developer of the Better Content Archiving app, therefore I am naturally biased. Nevertheless, please note that we have a good reason why we are developing our app!

A few of the more important limitations that will be a problem for any team using more than a few spaces:

  1. Automation rules don't scale to very large number of contents. (Our app can handle to multiple hundreds of thousands pages and blogs! We are working on increasing these numbers, but the Confluence REST API rate limits create problems.)
  2. Built-in statuses are limited to a low number. They are hard to kept consistent between multiple spaces. (Our app defines so-called content status schemes that are defined once and can be applied to any space!)
  3. Notifications are hard to keep consistent as they are tied to automation rules. (Our app defines notification schemes that make it super-customizable, yet consistent. An administrator's dream on a large team site!)
  4. Automation rules are hard to keep consistent. (Our app defines so-called automation schemes that group related automations!)
  5. There is little insight to the details of the status. (Our app provides many ways including a per-page analytic, dashboards per space or per site.)
  6. ... and so on.

You mentioned the costs, note that our app is free for 10 users if that helps.

(Discl. this paid and supported app is developed by our team.)

Hi @venkata naram

You can achieve this via Automation. You can set up rules to look for unviewed pages based on a schedule and archive them.

I suggest playing around with Automation, use the AI feature to help as well, then if you have any questions come back here and we can help.  If you do, please use screenshots when asking questions, as it greatly aids in troubleshooting.
