Assigning of rights, permissions and approvals

Hi Everyone, I hope someone has the wisdom to advise… 😊

I want to make sure about the user rights that can be assigned:

  • As I understand certain pages/sub-pages can be made visible to all Confluence users that have access to the space
  • As I understand this is also possible:  Certain pages/sub-pages  can be locked and only specific users have access to it. Can we assign access to a page and certain sub-pages are locked ensuring you can only see the sub-pages that are “open” to you as a user. And vice versa.
  • Can certain pages/sub-pages be given access to non-confluence users? I think then we are moving into the space of making  a page “public” to the web and I am not sure if this “public access” right can be managed on a page/sub-page level or only on a space level. (I previously experienced some issues with another team were we wanted to make certain documentation available to non-confluence users but not necessarily the entire world. From what I know today; this is not possible).
  • Can I publish a page that I have created but then still ask my manager to sign it off/approve it.  I am creating training material that must be looked over before it is finalized.  How do I do this?  Do I tag my manager with a ‘please sign off’ tag or what is a better way?  As the page will always indicate the date and time it was created, it will be great for the date and time which a person requested sign-off sits in the document, same with the approval thereof.

Hi @Heide Behrens ,

We make a Confluence signature app, which will show the date of the approval/signature on the page.  It's Document Control for Confluence Cloud, and free for up to 10 users (as you are on the free tier).

The app also has page restrictions management, however I'm not entirely sure if that would fit your use case.  You can just give it a try and/or contact support if you have a more detailed question ( https://www.phaselockedsoftware.com/#contact ).

Welcome to the community.

  • If you don't use page restriction every page in a space is available to any user who has access to the space, based on their permissions they can only view, or create and edit.
  • Yes page can be given restrictions, based on user or group. You can grant view or edit permissions.
  • Yes, this can be done, but your Confluence permissions on Global level need to change first as anonymous access needs to be enabled, then you would need to enable anonymous access on space level as well. This will mean that any space with anonymous access is available to any user who reaches you Confluence instance.

    You would need to restrict every page in the space you are granting anonymous access to, that you don't want to be seen by non-Confluence users
  • This would require a marketplace app that offers an approval function, ootb you have page status option, but that doesn't provide dates to populate on the page

Thanks so much for your reply and all the details - it's appreciated!

We are using the free version and not planning to upgrade soon.... It seems like restrictions / permission levels are not accessible to us then... do you know if this is correct?

Yes this is correct on the free tier permissions are not accessible.
