Admin rights for spaces

Sally Sattary August 27, 2024

Hi
Is anyone able to point me in the right direction please? I have org admin rights, but am having issues with spaces.

We have a number of personal spaces (some for staff that have left the company) and we want to move them to trash, but "Space settings" is greyed out when I try to archive them. Similarly I want to hide all the personal spaces from appearing when we search for spaces as we want an external party to be able to only view the space we have created for them. Similarly I don't want the external party to see archived spaces either.

Any tips on what I need to change to get my access to what we believe it should be would be greatly appreciated.

Hi @Sally Sattary

One approach that helped users here was navigating to Confluence admin > Security > Space permissions, then browsing to the deactivated user's space. Use Manage permissions to add yourself everywhere, eventually allowing you to administrate the person's space.

Let me know if this is an accurate option :)

Thank you, this seems to work!

Welcome to the community @Sally Sattary

It's good that you have the org admin access, because what would you need to do add yourself to the confluence-admin-<your site name> group.

Next, you would need to manage to the Settings > Security > Space permissionsScreenshot 2024-08-27 at 12.42.10.png

For the spaces that you cannot access there will be option to Recover permissions.  For having the third parties to only be able to see your instance there are two ways:

  • Enable the Anonymous access - this will allow ANYONE on the internet with the link of your instance to view only your pages  (doesn't require a license at all)
  • Go through each space and add these external users to your spaces with only granting them view only permissions (require at least Confluence guest license which is free)

Thank you, this is going to take a long time, but I should be able to do it with some time :)
