Managing Content - how to identify pages for periodic updates

In order to keep the content of our pages up to date, we have a team that is searching for pages with a last update date longer than 6 months ago, and reviewing these pages for content updates.  The process of compiling the list of pages to review is labor intensive.  What tools or processes are being used by others to report on or compile a list with page names, links,  page owners, and last update dates?

Confluence is a great collaboration tool however unfortunately it doesn't have a great method to help with having process and control with life-cycle of pages or content.

Having said that, this is where the Atlassian Marketplace can extend your experience with Confluence. The Atlassian Marketplace has some really cool tools to help fill the gap for your lifecycle and review process of your pages and content. One option for you to consider would be Comala Document Management which has has a Content Expiry Workflow that enables a lifecycle to your space of pages and content. You can customise the workflow to suit your team's process, for example notifying the relevant page owner when a page expires.

maybe also "iFinder Confluence Search" could be an option for you. This is a enterprise search solution for Confluence with a great handling to find out fast the content you are looking for. With dynamical facets and filters you can sort your result list quickly. In your case, the visuel time control bar would be helpfull too. You will find more information also here.

The Better Content Archiving for Confluence app was developed for typical use cases you described. It offers the following features to solve this type of problems:

  • expiration tracking (mark a page expired 6 months after its last edit)
  • page owners
  • personalized email notifications with the page list for the responsible party (see below)
