Confluence Database vs. SharePoint Online Custom Form?

Amy Carey

Our organization uses a SharePoint Online list and custom form as an intake for new and update Confluence content requests. The list helps manage and document requests and provides an audit trail. Each item will most always have an attachment to document the new or updated content.

Would switching to a database be better? Similar?

Concerns are:

1. Allowing users edit/contribute access to the database.
2. The attachments "adding up" and creating bulk in the instance, inflating the size of Confluence and possibly affecting performance. These are most often Word documents, some of which may be 10, 15, 20 or more pages.
3. The SharePoint Online custom form provides a "user friendly" interface form vs. a list database for our users.

In a case like this, if you need a form you would have to couple your confluence base to a Jira Workmanagement Space. Link
I don't know if you have it?

Hi @Amy Carey thanks for sharing your use case. To address your concerns:

  1. Databases follow the same permission model as other content types like pages, so you can grant specific users or groups view or edit access to a database.
  2. Attachments in databases will count towards your Confluence media quota, which you should be able to check in one of your admin screens.
  3. I'm not familiar with the SharePoint Online custom form, but as of today databases does not have a form capability where you fill out a form to populate the database. Other than table view, we do have card and board views where you can view your entries as cards instead of as a list. You can also edit entries in a resizable right rail.
