Indicate Page Status in Confluence Data Center with Handy Macros

We are excited to announce the release of the Handy Page Status macro in the Handy Macros for Confluence app!

In Confluence Cloud, you can set the page status with the native feature. Adding it to a page, you get a colored indicator (purple, blue, red, yellow, or green) and a label (up to 20 characters). To set the page status, you need to start editing the page. Pick the status at the top of the page by selecting Add status from under the page breadcrumbs while in edit mode.

Now Confluence  Data Center users can also enjoy the benefits of this feature with our Handy Macros for Confluence. Our new Handy Page Status macro allows users to set custom statuses for Confluence pages, making it easier to track progress and changes throughout the entire documentation review process.

Key Features of Handy Page Status

  • Assign custom status labels (e.g., "Draft," "In Review," "Approved," "Needs Update") to any Confluence page.
  • Track status changes over time, with a quick and clear view of where your content stands.
  • Enhance collaboration by keeping everyone on your team up to date with the current status of key documents.

Use Cases for Handy Page Status

The Handy Page Status macro is especially useful in scenarios where content needs multiple levels of review and approval, making it an ideal solution for documentation teams, project managers, and other stakeholders who work with evolving content.

1. Documentation Review Process

For teams producing product documentation, tracking content throughout various stages of review is essential. For example, a technical writer can label a Confluence page as "Draft" during the initial writing phase. Once the document is ready for peer review, they can update the status to "In Review" to signal that feedback is required. After all necessary changes are made, the page can be marked as "Approved" to indicate that it’s ready for publishing.

Using the Handy Page Status macro ensures that everyone knows which documents are still in progress and which are finalized, preventing premature use of unfinished content.

2. Project Management

In a project management setting, teams can use Handy Page Status to track the status of key deliverables or project documentation. For instance, a project manager may set a project plan page’s status as "In Progress" while the team is still working on it. As the deadline approaches, the status can be updated to "Final Review" before moving it to "Approved" when the project plan is complete and ready for execution.

This helps team members keep track of evolving content and ensures everyone has access to the most up-to-date version.

3. Compliance and Audit-Ready Documents

Organizations that require regular compliance updates, such as policy documents, can benefit from Handy Page Status as well. A compliance officer can set a policy page as "Under Review" when it's due for an audit and switch it to "Approved" once it’s been reviewed and meets regulatory standards. This can make it easy for audit teams to see which policies have been updated recently and which are still awaiting review.

4. Internal Knowledge Base

If your team maintains an internal knowledge base in Confluence, Handy Page Status can be used to keep knowledge articles up-to-date. For example, you can mark pages with "Needs Update" when procedures or guidelines change, and set them to "Current" after they’ve been updated. This ensures that employees always reference the most accurate information.

Why Use Handy Page Status?

In any workflow that involves collaboration and document evolution, keeping track of the current state of each document is critical. Handy Page Status allows you to do this quickly and visually, reducing confusion and improving communication among team members. Whether you're managing content for documentation, legal compliance, or project deliverables, Handy Page Status ensures everyone is aligned on what’s complete, what needs attention, and what’s next in the pipeline.
