💪 Confluence as a Lightweight Project Management tool - Status & Task Management 🚀

How to effectively manage tasks and projects in Confluence

Are you looking for a robust and versatile task management tool? Look no further. Atlassian Confluence, a widely used collaboration tool, offers a comprehensive solution for managing tasks. However, using it is less flexible and rather recommended in the case of managing less complex tasks. This blog post will guide you on leveraging Confluence for task management and recommend a solution to overcome its limitations.

ℹ️ Leveraging Confluence for Project Information

Confluence acts as a single source of truth for all project information. It allows teams to create, share, and collaborate on projects in one place, keeping everyone on the same page and ensuring project success. From planning and tracking project timelines to documenting meeting notes and sharing updates, Confluence provides a centralized platform for many of your project management needs.

One of the key advantages of using Confluence is its ability to foster collaboration among team members. With features like shared pages and inline comments, team members can easily share ideas, provide feedback, and work together towards achieving project goals. This collaborative environment not only improves productivity but enhances the overall quality of work.

Jira integration for improved project management experience

Moreover, Confluence’s integration with other Atlassian products like Jira further enhances its project management capabilities. For instance, you can create Jira issues directly from Confluence, link Confluence pages to Jira issues, and even display Jira project progress on Confluence pages. This seamless integration provides a holistic view of your project, making it easier to track progress and manage tasks.

🪜Statuses and Tasks - The two-level project management in Confluence

By default, you can benefit from a two-level project management capability of Confluence by managing page statuses and tasks within a page:

  1. You can give your content a status to help set expectations for viewers and collaborators when they come to a page or blog post. This avoids the need to add “draft” or “work in progress” to your title when you want to communicate that the content isn’t final yet.
  2. You can create, assign and view tasks within your Confluence pages. It’s especially helpful when you want to track simpler tasks alongside your work, such as meeting action items, event to-dos, and small team projects.

🚦Confluence Status Management

Each status is a combination of a colored indicator (purple, blue, red, yellow, or green) and a label (up to 20 characters) that can help people easily understand where your content is in its lifecycle. They can also be useful when reviewing page history and deciding which versions to compare.

Space admins control whether content statuses are on to begin with and if content authors/editors can add their own custom statuses. Additionally, admins can decide what (if any) default statuses should be suggested.

Add a status

If a space admin allows statuses in a space, you can add or change them at the top of the page when editing. That means anyone with edit permissions can set the page status, choosing from the suggested options defined by the space admin or creating your own.

  1. Select Add status from under the page breadcrumbs (and above the title) while in edit mode.
  2. Choose between a suggested or custom status from those listed or add a new one (depending on the settings chosen by the space admin.

If enabled by the space admin, you can add your own custom statuses to a page while editing.

Viewers of a page can only see the content status on a page or blog after it has been published.

âś… Confluence Tasks - The Native Tool For Task Management

Confluence Tasks is a powerful feature that allows you to create and assign tasks within your Confluence pages. Here’s how you can use it:

Adding a Task

  1. To add a review task, type “[]” followed by your task description.
  2. Assign it to a team member by typing “@” followed by their username and a date.

This creates a task list visible to everyone on the page, promoting transparency and accountability.

Completing a Task

Once a task is completed, click on the checkbox next to the task. This will strike through the task, indicating its completion. It provides a visual cue for the team to track progress and stay updated.

The Next Task

To add another task, repeat the process. You can add as many tasks as needed, making it easy to track progress. This feature is particularly useful for managing multiple tasks and ensuring nothing falls through the cracks.

Inline Comments

Team members can add comments to tasks, fostering collaboration and ensuring everyone is aligned. This feature promotes open communication and helps resolve any issues promptly.

Reporting

Confluence provides a Task Report Macro that displays all the tasks on a page, making it easy to monitor progress. This feature provides a snapshot of the project’s status, helping teams stay on top of their work.

🛑 Confluence limitations

Confluence content creators are responsible for maintaining pages, updating page statuses, and managing related tasks. But, many times, they face difficulties when using Confluence for managing tasks. Although Confluence is a powerful tool, it has some limitations when it comes to task and project management:

  • Finding tasks can be time-consuming as it requires multiple clicks.
  • Confluence’s native task management feature only lists personal tasks (in an unstructured format), which can make task management cumbersome.
  • The native status management is not convenient - neither the overview nor the status settings work smoothly by default.
  • In more complex cases, you must create a Jira project to effectively manage the project and related tasks.

🚀 Introduction of Advanced Content Navigator for Confluence (ACNC)

META-INF’s Advanced Content Navigator for Confluence (ACNC) is a cutting-edge Atlassian productivity app that helps you discover unread pages without drowning in email notifications. It gives you an overview of page trees enhanced with attachments, tasks, statuses, and history - all at hand without opening the pages themselves.

With ACNC, you can easily navigate through tasks, and check and set page statuses, all from a single page. This not only simplifies task management but also saves valuable time that can be better spent on core project activities. To overcome Confluence’s limitations, ACNC offers a solution for simplifying task and status management:

  • It provides an easy overview of all related tasks on a page, allowing content creators to gain a simple view of tasks and enabling users to quickly find the tasks they are looking for.
  • Page statuses help you quickly identify the pages in a certain status of your interest (e.g. those that are ready for review.) You can easily set the color-coded status of every child page in one place without opening the pages themselves.
  • It improves efficiency by saving time on tracking new tasks related to specific pages.
  • There’s no need to create a separate Jira project for task management; you can manage tasks along with the underlying product/content.

Lightweight Project Management tool

While there is Jira, which is a robust project management tool, the use of Confluence and ACNC is specifically recommended, when it comes to managing simpler, smaller tasks, which does not justify the creation of a Jira project, or for projects where the final product is created in Confluence itself. This way, you don't have to manage tasks in a separate tool and do your work in another one.

By simplifying status management and making task lists transparent, ACNC can meet Confluence challenges and can be used as a great lightweight project management tool.
