Using Plans and Advanced Roadmaps across multiple teams - looking to knowledge share!

Hello!  I am a Delivery Manager/Product owner for a Data Services Group.  We are standing up practices, standards and beginning to use Plans/Adv Roadmaps across 6 teams.  I would like to talk to folks that have stood this functionality up and are actively using the products to knowledge share and glean whats working for you and what pitfalls you have had so I dont fall in them!

Setting up Plans (Advanced Roadmaps) across 6 teams can be daunting. However, these basic tips can help you as you start to plan:

  1. Make sure you align everyone on strategic goals. When you clearly define objectives, this can help all teams perform better.
  2. Define ownership so each team member knows which tasks they need to complete and by which date. 
  3. Avoid static roadmaps: each roadmap should adapt to the changing priorities of each team.
  4. Continue to keep the communication open and transparent.

Pitfalls to consider. One of the pitfalls you might run into is presenting up-to-date information to senior stakeholders who only want a high-level view or making large bulk edits easily if things change without warning. You may also want to add milestones to highlight critical points in your roadmap, which will require a third-party tool. Lastly, you also didn't mention if all six teams are in-house or if some teams are external contractors without access to Jira. (Sharing up-to-date information and controlling what external stakeholders see is another thing you want to be mindful of) 

The Atlassian marketplace has a good selection of apps you can consider using to enhance your Plans (Advanced roadmaps). One app you can try is Visor, which gives you

  • Bi-directional integration that honors the parent-child relationships you have in Jira and allows you to make bulk edits before pushing them to Jira. (Or create new tickets if you want)
  • The ability to visualize your roadmaps with milestones to highlight critical checkpoints.
  • The option to create custom views for different project stakeholders.
  • Control the access you give to certain stakeholders, including those who don't use Jira.

Thank you Michael, that was insightful and I think I'm on the right track.  All of my teams in are internal so it makes the sharing of information a bit easier without boundaries.
