From my experience, the biggest thing with large Jira projects is to keep the structure simple enough for the team to actually use it every day.

For hierarchy, I’d usually go with something like:

Epic = a larger outcome or feature area
Story = user-facing value or a clear piece of functionality
Task = technical or operational work needed to deliver it
Sub-task = only when the work really needs to be split between people

A common mistake is turning Jira into a huge documentation system with too many levels, fields, statuses, and custom workflows. It looks organized at first, but later the team spends more time updating Jira than delivering work.

For bigger teams, I’d recommend:

Keep workflows as simple as possible.
Use components, labels, or custom fields carefully to separate teams, modules, or workstreams.
Have a clear Definition of Ready and Definition of Done.
Make sure ownership is clear: who owns the epic, who owns the backlog, who can change priorities.
Review dependencies regularly, not only during sprint planning.

For sprint planning, the most useful practice is to prepare the backlog before the meeting. Sprint planning should not be the first time the team sees the work. Stories should already have enough context, acceptance criteria, priority, and rough sizing.

For backlog management, I’d avoid keeping hundreds of old items forever. It’s better to regularly clean the backlog, archive outdated ideas, and keep the top part well-groomed and realistic.

Automations that usually save time:

Auto-assign issues based on component or request type
Move parent issues when child issues change status
Notify owners when blockers appear
Auto-close stale issues after review
Create recurring tasks for regular project routines
Connect Jira with Slack/Teams, Confluence, GitHub/GitLab, and time tracking or capacity planning tools if your team needs that

For complex projects, the setup that has worked best my team is a combination of clear Jira structure, regular backlog refinement, visual roadmap planning, and some form of capacity view. Jira is strong for tracking work, but for bigger teams it helps to also see workload, timelines, and dependencies visually.

It's much easier to handle large Jira projects when teams have a clear structure, consistent processes, visibility, and historical tracking from the start, especially when multiple teams, sprints, and stakeholders are involved.

Some of the following practices can be really effective:

Structure work hierarchically.
Initiatives should be broken down into Epics, and then into Stories, and finally into Sub-tasks.
Avoid making epics too large and containing too many tasks.
Where possible, streamline workflows and processes between teams. Many custom statuses or workflows can cause future reporting and visibility problems.
Pay attention to the number of tasks in the backlog.
When old tickets, unclear priorities, or large stories add up, large projects are hard to accomplish.
Regularly use sprint retrospectives and sprint history analysis.
Teams may be concerned only with executing the sprint at hand, not with delivery patterns, scope creep, or lack of stability.
Enhance visibility using dashboards and gadgets.
Centralized reporting is vital to managers, PMOs, and compliance teams.

The advice provided above is excellent for team-level organization and basic visual planning. For most teams, that's exactly where they should start.

However, when you are managing a large enterprise project, the requirements for the project management function change. You move from needing 'Visibility' to needing 'Governance'.

The 'best practice' for a true enterprise setup is to establish three layers of truth:

1. The Execution Layer (Jira): Keep this lean. As mentioned above, avoid 'documentation bloat'. This is where the daily work happens.
2. The Capacity Layer (The Resource Engine): Instead of just 'visualizing' workload, you need a deterministic model of availability. You need to know the 'Net Capacity' of your people (accounting for holidays, admin, and multi-project allocation) so that your roadmap is based on reality, not optimism.
3. The Governance Layer (The Baseline): For large projects, the biggest failure is 'Scope Creep'. You need a formal baseline to track the variance between your original plan and actual execution.

Most teams stop at the 'Visibility' stage (using tools to see the work). But for a truly professional setup, you need to solve the 'Governance' stage. That's the difference between a project that looks organized and a project that is actually under control.

These are exactly the right questions to be asking as projects scale. A few practices that tend to make a real difference:

Structure epics around outcomes, not features. Epics work best when they represent a business goal or user outcome rather than a delivery container. This keeps them meaningful at the portfolio level and avoids the "mega-epic" problem where dozens of loosely related stories live under a vague theme with no real boundary condition.

Make sprint planning dependency-first. The most common breakdown in larger teams is pulling work into a sprint without surfacing a blocked dependency sitting in another team's backlog. Before finalizing sprint scope, do a quick dependency review — what are we relying on that we don't control? A simple issue link convention and a shared dependency filter in Jira can catch a lot of this.

Use components deliberately for team ownership. For larger projects, components are the underused mechanism for assigning subsystem ownership to specific teams. Combined with automation rules (e.g., auto-assigning components to a team lead), this gives you a lightweight ownership model without custom fields.

Automate transitions, not judgment calls. Good candidates: closing subtasks when parents are done, moving issues to "In Review" when a PR is linked, notifying stakeholders when an epic reaches a threshold of done stories. Leave priority decisions, acceptance criteria, and scope changes to humans.

On the bigger-picture coordination challenge: the main shift as you grow beyond a single team is that sprint planning becomes a coordination event, not just backlog grooming. Dependencies and shared capacity become the binding constraints.

Great questions — these are exactly the pain points that surface when Jira starts getting stretched beyond small-team use. Here's what's worked well in practice:

Structuring epics, stories, and tasks

Keep your hierarchy intentional and shallow — Initiative → Epic → Story → Subtask works for most teams, but avoid going deeper than 3 levels or people stop maintaining the lower layers. The key rule: epics should represent deliverable outcomes, not vague themes. "Redesign checkout flow" is an epic; "Frontend work" is a theme that will become a dumping ground.

For large projects, use components and labels consistently across epics so you can slice cross-cutting work (e.g. "security," "performance") without creating separate epics for each team.

Workflows for bigger teams

The biggest workflow mistake with large teams is letting every squad customize their own statuses — you end up with 12 different definitions of "In Review" that mean different things. Standardize the core statuses across projects (To Do / In Progress / In Review / Done) and use sub-tasks or custom fields for team-specific nuance.

Dependency management is where large projects actually break down. Jira's built-in linking is passive — it records a dependency but doesn't surface it as a risk. Build a habit of triaging blocker links in planning, not just at the point of impact.

Sprint planning and backlog management

Velocity-based capacity planning beats gut feel: track rolling average velocity per squad (last 4-6 sprints), and don't let sprint commitment exceed ~80% of that to leave room for unplanned work. Scope creep mid-sprint is often invisible until retrospective — tracking points added after sprint start is a simple metric that reveals a lot.

Backlog grooming rhythm matters more than backlog size. A well-groomed top-20 items beats a "complete" backlog of 500 tickets nobody trusts.

Automations and integrations worth setting up

Auto-transition subtasks when parent stories move (Jira Automation, built-in)
Slack/Teams notifications scoped to blockers only — not every status change
Auto-assign based on component owner to reduce triage overhead
If you use GitHub, bi-directional PR/branch linking to stories so engineers don't have to update tickets manually

One broader pattern worth knowing

The common thread in all of these is that Jira is excellent at recording work but limited at showing you the execution picture — how priorities interact, where capacity is actually going, what's at risk before it becomes a crisis.
