One of the biggest strengths of Jira is its flexibility.
Teams can build workflows that reflect how they actually work, automate repetitive tasks, and adapt processes as projects evolve.
But in large SAP implementations, flexibility can sometimes become complexity.
As projects progress, new statuses are added, approval steps increase, custom issue types are introduced, and exceptions become part of the workflow. Before long, what started as a simple process becomes difficult for project teams to follow and even harder for administrators to maintain.
That raises an interesting question:
How do you know when a workflow has become too complex?
Some common signs include:
A well-designed workflow should support delivery, not become another challenge to manage.
Finding the right balance between governance, flexibility, and usability is especially important for enterprise SAP programs, where multiple teams often collaborate throughout the project lifecycle.
How does your organization decide when it's time to simplify or redesign a Jira workflow?
Do you have a regular review process, or do changes happen only when pain points become obvious?
Disclosure: I work with the team behind JASAP, an Atlassian Marketplace app built for SAP project execution in Jira. One lesson we've learned is that keeping workflows consistent and easy to follow often has a bigger impact on delivery than simply adding more process or customization.
I'm interested to hear what has worked well for your teams and how you balance flexibility with simplicity.
