Meeting notes - format getting lost when copying from Confluence and pasting on Outlook mail

Hello Everyone,

 

Good afternoon!

 

I conduct my status meeting live and record status as a table in Confluence pages using Meeting Notes template.

1. This is good for maintaining MoMs for my future audits.

2. But I have problem publishing e-mail update to the participants. The current status quo is to also update participants by e-mail.

 

Problem statement: When I copy from Confluence page meeting notes and paste on outlook new e-mail draft, formatting is lost.

Please suggest me some work around, for example saving meeting notes locally as .mht and e-mail as attachment etc.

Hello @Nagaraja HULIYAPURADA MATA ,

Here are a few workarounds I would suggest:

  • Export the Confluence meetings notes page as a PDF and attach the file to your email (select the 'more actions' ellipsis in the top right-hand corner of your Confluence page and then select 'Export > PDF').
  • Manage the 'Watchers' and share permissions for your Confluence page so they automatically get notifications when a page is updated (this will be dependent on how they have configured their Atlassian notifications or Inbox redirect rules).
  • You can ' @ ' users as attendees / apologies on the page so they receive the automatic 'recent activity' email.
  • If you use Microsoft Teams, you can share a link the the notes page in the chat and it will store the link in the regular meeting chat as a 'shared note'.

Another option that you could try is a smart button. If you use a template for your meeting notes, you can add a smart button (automation) to send an email with a link to the Confluence page to specific recipients:

Good evening!

At present "Export to PDF" and send as an attachment is close to my expectation.

Therefore, I accept this answer.

I thank you for your efforts.

 

Any Idea about when would "Export to WORD" option be fully functional?

If you do already happen to be using our app (or if you were interested in trying it), we offer a range of ready-made export templates on our Template Library, one of which is a meeting notes template, based on Confluence's page template that you're using.

The template formats Confluence content in a polished way, and can be customised to fit your company's brand, if that's required for when you're sharing it. :)
