How can I set up a system where specific words are automatically linked to a glossary definition?

I've set up a Sales Glossary with a bunch of terms, and my idea is that whenever someone types those terms in Confluence, they would automatically link to their definitions in the glossary. I did come across a plugin that seems like it could work (Smart Terms), but I'm also curious if there are any other methods, maybe even free ones, to make this happen. Any suggestions or insights are appreciated! Thanks.

Hi @Joao Callegaro,

For automatic linking of glossary terms across Confluence pages, I would not rely on native Confluence alone.

Native Confluence can work well for a glossary page, table, or database, but automatic detection of words inside page content usually needs a dedicated glossary/highlighting app.

I would separate the problem into two layers:

1. Discovery layer

This is what you described: someone reads a page, sees a term, and can quickly open or preview the definition.

For that, apps like Smart Terms or other glossary-highlighting tools are probably the right category to compare.

2. Governance layer

This becomes important if the glossary is more than a convenience list.

For example, if different teams use different terms for the same concept, or if Sales, Support, Product, and Legal need one approved meaning, then I would also track:

- approved term
- definition
- synonyms
- owner
- status
- review date
- reason for change

That way the glossary does not become just another page people forget to maintain.

So my practical recommendation would be:

- if you only need auto-linking, compare dedicated glossary/highlighting apps;
- if the glossary is becoming a source of truth across teams, design the ownership and approval process at the same time.

Disclosure: I build Compliance Glossary for Confluence, so I focus more on governed terminology than pure auto-linking. For your exact auto-linking use case, I would start by comparing dedicated glossary apps first.

Happy to compare notes if your Sales Glossary is becoming more of a controlled vocabulary workflow, especially around compliance or cross-team consistency. I’m also open to a short call if it would be useful.
