Hi Folks,
I’m hoping you can help me with an access issue in Confluence.
I’m on the Confluence Free plan and created a new space. I used the Share function to share a page with another user, and she did receive the invitation email.
However, when she clicks View page, she gets an error. When she clicks Ask for access, the request also fails.
Could you please advise what might be causing this and how we can grant her access to the space/page?
Thank you.
Sipo
Hello @Sipo Ching
Welcome to the Atlassian community.
The Share feature does not grant the user access to your Confluence information. It only gives them a link to the specified page. You must also, separately, grant them access to your Confluence site and that will consume one of your limited 10 free user licenses.
With the Free subscription you cannot limit a user's access to a single space or page, as is noted here. Users granted access to your Confluence site will be able to access all pages in all Spaces and be able to create new spaces, pages, and other content.
For information on granting the user access to your Confluence site refer to:
https://support.atlassian.com/user-management/docs/give-users-access-to-products/
The user has been granted access to Confluence. I want the user to be able to access all spaces and pages, with no custom or restricted permissions. However, the user cannot see the space after logging in to Confluence.
Hello @Sipo Ching
Where did you get that image that you provided in your response to @Marc -Devoteam- ?
Is the user able to see other Spaces in Confluence after logging in?
Has your Confluence subscription always been for the Free version, or were you at any time using a paid subscription or a free trial of the paid version (Standard or Premium)?

The picture is from the user admin screen under directory option.
The user can see the space created in Jira (software development template) and one more from the customer support template. I have a feeling that the user can only see the original space created in Confluence which I deleted and then I created a new one. But the user can’t see the new space..
The confluence has always been the free plan.

In the User Directory, what role did you grant to the user for Confluence?
In Confluence, if you go to the affected Space and go to Space Settings, and look at the Users page and the Groups page, what information do you see there? Please share screen images, but obscure confidential information as needed.

I granted the user the "User" role.
Please see the space's user page below. I also selected Grant all users permissions for this space, but it did not resolve the issue. The user still cannot see the space.
The Space's Group page is empty. I didn't create any group

If you go to the Groups page do you see the same "Grant all users..." message? What happens if you click the button there? Does the page get populated with Groups?
In a Free Confluence subscription when you create a Space three groups should automatically be granted access:
- confluence-users-<yourOrgName>
- confluence-admins-<yourOrgName>
- site-admins
If you don't see those in the Groups page for the Space, that could explain why the user is unable to access the space. Check the Groups page for a Space which the user can see. You should see the default groups there.
Regarding what you see for the user under Directory/Users, I see different information in my Free environment. I see a role for each app, and a Groups tab.
I am the person that set up my environment so I am an Organization Admin for it. Did you set up the environment you are using? Our views could be different if you are not an Organization Admin.

You’re right—there are no groups assigned to the space I created. In another organization, when I create a space, groups are assigned automatically (as you described). I suspect that’s the cause of the problem, but I’m not sure why it isn’t working as expected in this particular organization.

Did you try clicking the "Grant all users permissions..." button when viewing the Groups page? Did that add the groups to the page?
Have you tried creating another space in this site to see if the same thing happens again?

Hi @Sipo Ching
As you have created a new space, have you granted the user access on this?
Also can you show a screenshot of the page on clicking "View full profile"

Hi Marc, I grant access to the users but it was not working. I upload the "profile" of the page below. Thanks.
I think we found the problem (not the solution). From the chat with Trudy above. "You’re right—there are no groups assigned to the space I created. Hi @Sipo Ching
Based on that this is free subscription, no by group or user permissions can be granted.
Anyone with a Confluence use has access, only on paid plans this can bet set.
