Best practices for documenting meeting minutes in confluence?

Hello,

I use Confluence for customer documentation and store all relevant communications—meetings, emails, calls—as timestamped pages in a dedicated folder.

This approach is becoming increasingly suboptimal as the number of pages grows.
My current workaround is to group pages by quarter (e.g., "26Q1", "26Q2", etc.), but this is still entirely manual.

I’d like to see some automation:

• Automated meeting pages: Create a page directly from an appointment or Teams meeting, pre-filled with:

  • Date and time
  • Participants
  • A link back to the original Teams calendar entry

• Better template handling: Currently, I have to create a page, then open the templates, locate the right one, and apply it. This takes too long for ad‑hoc calls.

• Improved search: I’d like to search directly within my communications. While Confluence allows filtering by space, it seams it doesn’t support filtering by parent page.

What’s your take on this? How do you handle meeting minutes in Confluence?

I totally understand your points.

I may be able to help with some of them.

I have no clue about automatically creating a meeting page before the meeting. However, after the meeting, one option could be to use Loom AI (available with TWC Premium). You can integrate it with Google Meet, Teams, or Zoom and then ask it to generate a meeting summary directly into a Confluence page: https://support.atlassian.com/loom/docs/turn-your-loom-video-into-a-confluence-document-beta/

Regarding page templates, you can of course create a new page and select the appropriate template. There is also another approach, especially if you frequently use the same template. You can use the “Create from Template” macro. This macro is added to a parent page that contains all your meeting notes. When configuring the macro, you can select a specific page template, and the button displayed in view mode will allow users to create child pages based on that predefined template. 

On that same parent page, instead of using the global Confluence search bar, you can also use the “Page Tree Search”macro: https://support.atlassian.com/confluence-cloud/docs/insert-the-page-tree-search-macro/
