Beyond Chatbots: Using AI in Confluence to Automate a Real-World Workflow

Hi Community,

There's a lot of exciting conversation right now about the power of AI, especially within the Atlassian ecosystem. We're seeing AI help us generate ideas, summarize meetings, and search for knowledge in new ways.

But beyond these (very useful) features, I believe the true power of AI for teams lies in its ability to automate tedious, repetitive, and time-consuming workflows. I want to share a practical example of how we applied AI to solve one of our most frustrating bottlenecks: keeping our app's content in sync with our Confluence documentation.

The Problem: A Repetitive Task Perfect for AI

The process of updating UI text is full of tasks that humans are good at, but that are slow and repetitive. We realized that this process was a perfect candidate for AI because it involves:

  • Pattern Recognition: Identifying which text on a page is for the end-user versus which text is a note for the team.
  • Structured Data Generation: Creating clean, consistent, and hierarchical i18n keys from unstructured text.
  • Language Transformation: Performing high-quality initial translations.

How We Applied AI to Automate the Workflow

We decided to build an "AI-powered localization manager" right inside Confluence. Here’s how we trained it to think:

  1. The AI acts as a 'Content Scout': When you write on a Confluence page, our app's AI reads the text just like a Product Manager would. It intelligently identifies which sentences are UI labels, button text, or descriptions, and which are just notes or comments for the team.
  2. The AI becomes the 'Key Master': For each piece of text it identifies, the AI automatically generates a clean i18n key (e.g., dashboard.buttons.view_report), saving developers from the manual and error-prone task of creating them.
  3. The AI serves as the 'Instant Translator': Using modern language models, it provides high-quality initial translations for all the languages you've selected. This doesn't replace professional translators for final polish, but it handles 90% of the initial work instantly, slashing costs and delays.

The Human in the Loop

Crucially, the AI doesn't replace the team; it assists them. The AI does the tedious, time-consuming work, which then allows your Product Owner or a professional translator to simply review and perfect the results.

The outcome is that a manual, multi-day process becomes a near-instant, automated one. It's a real-world example of using AI not as a novelty, but as a powerful engine for team efficiency.

We built this into our app, Quick Locale AI, because we believe the future of productivity is in applying AI to solve these specific, everyday workflow challenges.
