Synchronising Issues

Becky DS August 9, 2024

I'm following the help sheet, but I'm having trouble setting up a rule to synchronise cards across different boards. The instructions mention a "Cascade" tab in the menu when you set up a rule, but I can't seem to find it/appear to have it despite having full membership, I'm not sure what I'm doing wrong. Could you help clarify?

Hi Josh, thank you for a swift reply, yes that is exactly the same view I have.  I would like my cards linked to those on other boards related to actions, so it’s clear and easy to track progress and updates across all divisions.

OK, got it. So there's no single rule to sync all cards in your boards, but what you can do with Butler is set up individual automations so that, for example, "when a card in Board A is moved to List 2, then XYZ should happen."

So you start by picking the triggers for each action you want Butler to take. That includes: moving a card somewhere, a specific change to a card (e.g., adding a label, member, attachment, etc.), when a due date is set, when a checklist is added or completed, or even when something happens to a specific custom field.

It's hard to get more precise without knowing the details of your use case.

But once you set a trigger, you can then choose the action you want Butler to take elsewhere. So that's where you'll see the Cascade button appear.

This is what the action window looks like in Trello for me:

So in that case, "Cascade" allows you to select cards in bulk based on a chosen criteria from that list you see above. Once you've chosen one, you then set another action to tell Butler what to do with all those cards.

You'd have to go through this process for each different automation you want to set up between your boards.

There are (paid) alternatives that make this process simpler and easier to manage though if you want some recommendations.

Oof! Good luck, @Becky DS ! Try to put on some classical music! Personally, I'm a fan of Max Richter's Vivaldi Recomposed.

Or, if your team has the budget, you could always try a Power-Up like Unito's Board Sync (shameless self-promotion). It lets you copy and sync cards with automated updates without having to set up all those triggers.

The default for Butler is to only sync cards based on those triggers you choose.

The default for Unito is to sync all cards except those based on triggers you (can, but don't have to) choose.

@Becky DS are you talking about this article? I think it might be a bit out of date. I also don't see a cascade tab. This is what my automation window looks like:Screenshot 2024-08-09 at 10.17.26 AM.png

What do you want your cards to do exactly?
