On 8th April, free Workspaces will be limited to 10 collaborators.

Hello,

I received notifications stating that starting from 8th April, free Workspaces will be limited to 10 collaborators. Consequently, I have several questions that require clarification to address our concerns and find solutions. I've listed them below:

If we currently have a workspace with 45 collaborators, will we be able to add new members after 8th April, even if the groups become view-only?

Building upon the first question, considering we already have 45 collaborators, and the new limit is 10, how can we identify the 10 individuals who will retain collaborator status? Is there a way to set these 10 collaborators?

In a workspace with 45 collaborators where others can only view, will the 10 collaborators have the ability to tag additional individuals who can only view the board?

Your assistance in addressing these questions is greatly appreciated as we navigate these changes.

Basically, no. If you are already above the limit of 10 by 8th April, you cannot add anyone new.  

 

Building upon the first question, considering we already have 45 collaborators, and the new limit is 10, how can we identify the 10 individuals who will retain collaborator status? Is there a way to set these 10 collaborators?

The number of collaborators is defined by this the information below.  It doesn't matter if they are read-only...

What is a Collaborator?

A collaborator is anyone who’s been invited to a board in your Workspace or the Workspace itself. This includes:

  • Workspace members

  • Workspace guests
    Board members who aren’t members of your Workspace. This includes Single-Board Guests and Multi-Board Guests.

  • Pending Board and Workspace invites.

Who doesn’t count as a Collaborator?

  • Anyone who’s only a member of closed boards in your Workspace

  • Deactivated accounts

  • Deactivated Workspace members

How many Collaborators do I have?

The simplest way to see how many collaborators you have is to navigate to the Members section of your workspace.  This number will show exactly how many you have:

How do I remove collaborators (in general)?

Free Workspaces in Trello are getting some new tools that will make it super easy to remove members or guests from your Workspace. These tools will be available by the end of March—if you want to remove someone before then, you can do so by following the steps below.

 

To remove a member from a Workspace, go to the Workspace members page, and select "Remove..." to the right of their avatar. This member will also receive a notification that they were removed from the Workspace.

 

In a free or Standard Workspace, when you remove a member, this will not remove them as a member of boards within the Workspace. It will only remove their access to the Workspace – you will need to manually remove them from Workspace boards.

 

The easiest way to do this is to go to the Guests page, which you can navigate to from the Members page, and then click on the “On X boards” link for that person. When you hover over each board, a “Remove” button will appear to allow you to remove that person from the board.

If the person you want to remove is the admin for a board in the Workspace, or if they're a member on a board that you don’t have access to, you may not be able to remove them. The new tools coming later this month will allow you to fully remove these users.

 

My Recommendation

You have a bit of time to reorganise your workspace...

 

  1. Figure out how many of your 45 collaborators could be moved to being single board guests

  2. On April 8th, there will be the opportunity to take out a Trello premium trial for 30 days, this gives you enough time to adjust your workspace to be as efficient as possible
  3. Structure your workspace so that as many of the 45 collaborators can be single board guests
  4. By the time you reach the end of the trial, you can be at a point where you have a small number of workspace members and multi-board guests, if free is enough for you now. Trello Standard is probably right for you in the long run. Subscribe to that, your workspace billing will be charged for anyone set as a workspace member or as a multi-board guest, everyone else will be free and have full collaborator access (note, single board guests don't have to be on the same single board, they just have a 1 board limit)
