I am a new user and have several questions related to signing up users in our company

The user name @[deleted]. Is this assigned by the user or the company of Trello? Can we make this what we want?

If a person has a personal Trello account would it be best to have them sign up for Trello using their company email?

If they sign up with a company email and they were to leave the company is there a way to change their password so they no longer have access to the account and then the account can be assigned to their job replacement. In this way we would not have to delete them from all boards and invite the new person in the job.

To sign up a new member that does not have a current Trello account can we just invite them by sending link to their company email which would cause them to get a link to set up an account under their company email?

  • As far as I know, this is generated by Trello
  • You can change it - but it needs to be unique across every Trello user, not just those in your instance.
  • To change it:
    • Go to your Profile Icon in the top-right
    • Select Profile and Visibility from the dropdown menu
    • Change your Username, and press Save

  • This is more of a personal preference, but I'd recommend that you do.
  • If users are using their Company email, you can control their access to platforms easier (e.g. if they leave).
  • I guess this is more of a Security question for you to consider. For example, would you let employees receive Company emails to their personal email? This is in a similar vein to allowing them access to Company data on Trello.

  • In terms of managing Users, I'd recommend considering Atlassian Access - allowing you greater security options for managing access to an Account / Trello. See more in relation to this for Trello on this help page
  • Whilst I assume it's not impossible to "replace" users in the manner you've suggested - I would not recommend it. If you do this, all the activities the "previous user" did would now be listed under the new user, which would be difficult to audit later.
  • I'd recommend each new user receives a new account - and the previous account is left "deactivated" with the previous employee's details. I wouldn't recommend switching accounts between individuals.

  • Yes - you can invite users to Trello using various methods - see options on this help page
  • If they don't have an Atlassian Account, they should be prompted to set one up also. This is the account a user will use to access all Atlassian products used within your Company (eg. if you have Jira, Confluence, etc) - see more information on Atlassian accounts on this help page
