Company board vs client board

We work with our company in Trello (premium) and use a company board to manage all projects for all clients.
And we have separate project management boards for our clients. Where we work together with clients.


2 questions:
1) Can we synchronize cards from the client boards with our company board so that we do not have to create duplicate cards (error-prone + hours)? Our company board discusses details that clients do not always need to know.

2) Is it possible to put all cards of all clients on the company board, so that we have a clear overview internally. But so that clients can only see their own cards? This way we can remove the clients boards. And give us better internal insight into workload and project management.

Here are some of my ideas:

1) Synchronizing Cards Across Boards

To synchronize cards between your company board and separate client boards without creating duplicates, you can use Trello's Power-Ups or third-party integration tools. One such Power-Up is Unito, which allows for deep two-way synchronization between boards. Here’s how it can help:

  • Automate Synchronization: With Unito, you can create rules that automatically sync updates from client boards to your company board and vice versa. This includes changes in card details, comments, attachments, and more, reducing the risk of errors and saving time.
  • Selective Synchronization: You can choose which information to sync, ensuring that sensitive details discussed on your company board remain confidential and are not shared with the client boards.

2) Centralizing Cards on the Company Board with Restricted Client Access

For this requirement, Trello currently does not offer a direct feature to place all cards on one board and restrict visibility at the card level. Trello's access controls work at the board level, not the card or list level. However, you can approach this challenge in a couple of ways:

  • Automations: Use Trello’s built-in automation tool to create a system where actions in client-specific boards are reflected on the company board. For instance, creating a card in a client board could trigger an automation to create a linked card in the company board. This does not solve the issue of single-board visibility with privacy directly but helps in managing workload and overview.

  • Mirror Cards: Another approach is using the Card Mirroring feature from certain Power-Ups (like Unito or Mirror for Trello) to mirror cards from client boards onto your company board. While this doesn't consolidate all cards onto a single board in the traditional sense, it allows you to have an overview of all client projects on the company board. Clients won't see other cards that don't pertain to them if they don't have access to the company board.

  • Master Board: Alternatively, you can use Planyway power-up that allows you to visualize cards as well as checklist items from multiple boards on a single timeline/calendar.Manage multiple projects in one place
