How to work with tasks that are transversal to several projects

Francisco Javier Perez Grau February 25, 2024

Hello, in our organization, we usually work by projects, but there are resources that are shared across different projects, e.g. use of a testbed, or some technical tasks, which are managed by a person who is not really a project manager in the classic way. Is there a view or type of project so this person can keep track of these tasks? Thanks!

Hi @Francisco Javier Perez Grau,

This is a very common use case. While work (issues) in Jira is stored in projects, people doing the work usually form teams. When you use company managed projects, it is possible to create additional boards (notice that boards and projects are different things) for those teams, acting as the home in Jira for a team's work.

Boards (in company managed projects, I repeat) display issues from a saved filter and - as such - can pull in issues across multiple Jira projects. All you need to do, is agree on a practice to assign work in your current projects to these teams, so it becomes easy to define the filter for your team board(s). You can use the recently built-in Team field for that or add a custom field of your own if that feels like a better solution.

Hope this helps!

Thanks both for your prompt replies. Browsing the community, I found this thread where Jira Work Management is recommended for a similar situation. We will also give it a try, but I'd like to know your opinion on this, would it be a better solution?

Hi @Francisco Javier Perez Grau

The suggestion of @Walter Buggenhout is correct and a best practice.

But if its related to a single user, you could also create a dashboard and based on filter, use the filter gadgets on the dashboard to show relevant information to the user or users

Thanks for the suggestion!
