Help setting up workflows for 2 separate projects

I have 2 projects set up with 2 different offboarding workflows, when i change one, the other one changes too, can anyone shed some light on why that is?

Hello @Paul Kennedy 

I am assuming these are Company Manage projects. Is that correct?

Go to each project and select Project Settings. Then select Workflows from the navigation pane on the left.

Compare those screens between the projects. They are either sharing an entire Workflow Scheme, or with the Workflow Schemes they are sharing a Workflow. 

If you change a Workflow that is in more than one Workflow Scheme, any project that uses a Workflow Scheme containing that workflow will be affected.

If you are using a given Status in multiple workflows, changing the Name of that status will change its name in all workflows that use it.

If you want the Status Names to be different between projects/workflows, then you have to create new Status values and incorporate those into the workflow. Statuses are created under Administration Settings (gear icon) > Issues > Issue Attributes > Statuses.

@Paul Kennedy - hi Paul! Ensure each project is truly using a different workflow?

Double-check each project. Go to their project settings (gear icon), then click Summary.

What workflow scheme is being used? If both are the same, you'll need a new workflow scheme, with the second one including the second offboarding workflow.

@Paul Kennedy - what change did you make in one workflow that appeared in the other? Any insight will be useful.

FYI, if a change was made a Status (say, renaming it) that's quite impactful and not workflow-specific.

The transitions stay intact but the status change between the two projects when 1 is changed.

Is there a way to make the status independent on each project? There are 2 companies with different offboarding procedures, so the status in the workflow needs to have different text.

2. Status names can't be workflow-specific. They're global. That said:

  • If it's absolutely imperative that a Status name be truly unique, you will need to make a new Status. Of course, tread carefully - the more statuses you have in Jira, the more administrative overhead is needed to take care of all your extra Statuses.
  • If the Status is visible to Customers on a Jira Service Management portal, you can have request-specific Status names. (If you're not using Jira Service Management, disregard this comment.)
