Content status site wide

Dana Bar Lavie Jones January 10, 2025

Is there a way to manage the Content status from a  site wide perspective?

meaning :
1) to default all new pages to have a specific status

2) to apply this to all spaces in the site

Hi @Dana Bar Lavie Jones

To automatically set a status to a page, you can use an Automation rule.

I think you may also do an action to launch an automation rule to apply specific status on page branch.

yes i have set this automation rule - so every page published is automatically a 'Draft' status. but this is available only on specific spaces and NOT global.

I would also like there to be a status 'Outdated' .
Which is not available  by default in all spaces.
Therefor, a control on this from a site wide perspective, would be useful

Hi @Dana Bar Lavie Jones ,

Currently statuses are only managed on a space level. There's an open feature suggestion for statuses on global level: CONFCLOUD-75509: Ability to manage content statuses at a global level

I didn't manage to find suggestion for default status whenever a page is created. Although, for Live pages I believe the one that's automatically assigned is "In Progress".

I would suggest maybe leaving a comment on suggestion I've previously linked related to the requirement for having an option for a default status whenever a page is created.

Cheers,
Tobi

thanks for the ticket reference.

hope this gets picked up as it can really affect how any reader views any page and easily knows what the content status actually is

@Dana Bar Lavie Jones The app Better Content Archiving gives great answers to both of your problems by introducing the so-called content status schemes!

Configuring a scheme looks like this:

  1. Global status: The schemes are shared by (multiple) spaces: any content status scheme can be applied to any space. With that, any status in the scheme is available in the space that use the scheme! (It works conceptually similar to the status schemes in Jira.)
  2. Default status: Every content status scheme has a default status. The default status is the status that will be assigned to a page or blog post if the rules don't assign a specific non-default status. (Statuses are automatically assigned to pages by the app that evaluates rules [CQL filters] on each page.)

All in all, the app offers a much improved concept for statuses and it offers a lot of functionality built on the top of that (from status reports through custom notifications to automations).

(Discl. this app is developed and supported by our team. Free for 10 users!)
