User reported an ongoing issue accessing document for approval in Confluence. Despite the document being approved and reapproved, User continues to encounter access errors.

Steps to Reproduce:

  1. Access the document by provided link.

  2. Log in using an Atlassian account.

  3. Attempt to view the document.

Expected Result:
User should be able to view and approve the document without issue.

Actual Result:
User receives an error indicating they cannot access the document.

Troubleshooting Steps Taken:

  1. Confirmed that user permissions match those of another users, who can access the document without issue.

  2. Requested user to click on her initials in the top right corner and provide a screenshot of her account information to verify login details.

  3. Reapproved the document to ensure there were no missed steps in the approval process.

Hi @Charla McLeod-DeVoe and welcome to the Community.

As you're not revealing the name of the app (there are quite a few approval apps in the Marketplace), it might be hard to troubleshoot - and app vendor's employee are probably active here in the Community.

I'll make a couple of educated guesses.

A) Permissions

  • Space level permissions might be aligned with those of another user but a page may be further restricted by page-level restrictions.
  • An app might have its own permissions for individual workflow steps. For example, only specific people can approve (I actually tested an app where approvers can be specified individually for any given page). This could prevent your user from accessing a page that needs an approval.

B) Account

It's plausible that the user has two identities on a Confluence site - for example, via SSO, and an email, and/or two different emails. In both cases, their name might be the same for BOTH accounts. I know because I handled such cases multiple times. So a screenshot might not necessarily help.

C) Hypothetical option

Our workflow process includes synchronization of content between two spaces as a final space. Successful completion of the approval process requires that the user has EDIT permissions in BOTH spaces. For example, a user with Edit permissions in the SOURCE space may Approve the page but there'd be an error message for the synchronization action if they don't have Edit permissions in the TARGET space.

If everything fails, I'd contact the app vendor directly (typically, the link would be available in the app's marketplace listing).

They can request and/or see way more details than we at the public Community forum.

@Kristian Klima This is for Confluence site using the Approvals for Confluence by AppFox. The user is setup like all other users in the site. I confirmed she only has 1 account.
