Step-by-Step Guide

1. Define Project Scope and Tasks

Breakdown Tasks: Begin by breaking down your project into manageable tasks. For example, if you’re launching a new product, tasks could include market research, product development, testing, marketing, and launch.

Create Tasks in Jira: Create these tasks as issues in Jira. You can use different issue types for various tasks (e.g., Epics for large milestones, Stories for individual tasks) or you can create a task directly on TeamBoard.

2. Utilize the Schedule Board:

Visual Planning: Use the Schedule Board in TeamBoard ProScheduler to visually plan and organize tasks. Drag and drop tasks to adjust schedules and see how changes impact the overall timeline.

Resource Planning: Allocate resources to tasks directly on the Schedule Board. This feature helps ensure that each team member is optimally utilized without overloading anyone.

3. Leverage the Timeline & Gantt Chart:

Timeline Visualization: The Timeline & Gantt Chart in TeamBoard ProScheduler provides a timeline view of your project. For the Gantt Chart, you can see the start and end dates of all tasks, dependencies, milestones, baseline, and critical path.

Adjust Schedules: Easily adjust task schedules by dragging task bars on the Gantt Chart. For example, if product testing needs more time, you can extend its duration and see the impact on subsequent tasks.

4. Set Dependencies:

Link Tasks: Establish dependencies between tasks to reflect their sequence. For instance, product testing can only start after product development is complete.

Auto Scheduling: With dependencies set, any changes to a task’s schedule will automatically adjust dependent tasks. This ensures your project plan remains coherent and realistic.

a very interesting product indeed. May I ask a question? How do you manage the capacity of the team or individual people to highlight the hours of work they put in over a period of time and those still available to them based for example on Original Estimate Time? Also, is there any integration with Tempo Timesheets so that if a person ‘goes on holiday’, his availability in the project is automatically updated?

Thanks a lot for your interest! Those are great questions, and I'd love to clarify a couple of things:

1. How to manage capacity with ProScheduler:

  • Use Workload View: You can use the workload view to see how tasks are spread out among your team. It’s color-coded—red for overload, blue for underutilized, and green when everything’s balanced. workload.png

 

  • Use ProScheduler's Report: You can check reports to see everyone’s total capacity, scheduled hours, logged time, and remaining capacity. This way, you’ll know if the team is on track or if adjustments are needed.Screenshot 2024-08-22 at 16.35.07.png
  • Utilise Timelog feature: ProScheduler also lets you track time spent on tasks, so you can easily see how hours worked stack up against the Original Estimate Time.Screenshot 2024-08-22 at 16.41.30.png

2. Does ProScheduler integrate with Tempo Timesheets?

Currently, TeamBoard ProScheduler doesn’t integrate with Tempo Timesheets. However, ProScheduler does allow users to request time off directly within the app, and their capacity is automatically updated accordingly. Screenshot 2024-08-22 at 16.53.52.png
