Are the automation steps user quota for Jira, JSD and Confluence (eg. for STANDARD license) shared across all apps?
Hi @Steffan Galea
Just to clarify Matthew's answer, Atlassian changed this with the new usage-based automation model.
Automation steps are now pooled at the organization level, including Jira, JSM, Confluence, and JPD.
For Standard plans, each subscription contributes:
These allowances are combined into one shared pool, not restricted to individual apps.
You can verify your total under admin.atlassian.com → Insights → Platform usage.
Atlassian explicitly confirms this here: https://www.atlassian.com/licensing/automation

No they are not (Shared).
Each Collection has its own pool - and JPD is isolated to itself.
You may have a "total" - but the consumption are limited to each respective group/app.
So if you have 2000 steps in JPD - you only get 2000 steps - even if you have 10,000 in Jira.

Thanks for your feedback.
I asked since https://support.atlassian.com/cloud-automation/docs/how-is-my-usage-calculated/, I read the example
…. if your organization has:
Total monthly allowance: 85,000 steps (shared across both apps)
I said collections for a reason.
Unless you are paying for an individual app.
Only collections pool their allowances. It's right there in the chart I showed above. 😁
Read the fine print carefully!
Hi @Steffan Galea , and thanks @Matthew Sinclair for sharing the table. I read the same page a bit differently, so here is what Atlassian's documentation says:
Allowances are pooled at the organization level. The "How is your automation usage calculated" page says automation moved from per-app monthly limits to usage-based steps pooled at the organization level, so your total usage is the sum of steps across all your Atlassian apps. The table lists what each app contributes to that pool (for example Jira 400 per user on Standard, Confluence 100 per user, JSM 3,000 per user, JPD 300 per user). It is not a cap per app.
The page gives this example: 100 Jira Premium users (100 x 750 = 75,000 steps) plus 100 Confluence Standard users (100 x 100 = 10,000 steps) gives a total of 85,000 steps, shared across both apps.
The Automation licensing FAQ says the same: the allowance is pooled at the organization level across all apps, so steps used in any app draw from a single shared pool. JPD is one of the apps listed there, and I could not find anything describing a separate JPD-only or per-Collection pool.
A few related points that may help:
One caveat: the older per-app limits (before the usage-based change) did work the way described above, so that may be where the confusion comes from. If you see different behavior in your own org, it would be worth sharing a screenshot of Platform usage here.
