I'm working on improving the way technical resources and documentation are organized for users. One challenge is keeping external resources easy to find without making documentation feel overly promotional.

For teams using Jira or Confluence, what approaches do you use for:

* Organizing external technical resources
* Keeping documentation focused and useful
* Avoiding unnecessary links in discussions
* Maintaining a consistent structure for resource pages

When documenting complex technical workflows, external media (diagrams, video walkthroughs, API specs, vendor docs, reference repos) can easily become messy or distracting if not structured systematically.

Personally I follow the below approaches to keep my documentation focused, clean, and reliable:

1. Centralize and categorize external resources

I use dedicated visual structures in Confluence:

* Confluence Databases / Structured Tables: Create a single repository or index page per domain/project using a Confluence Database. You can add columns for Resource Name, Category (e.g., Architecture, SDK, Vendor Guide), Format (Video, PDF, GitHub Repo), Owner, and Last Verified Date.
* Smart Links & Embeds with Intent: Use Confluence’s native Smart Link display options:* Inline: Best for brief mentions inside a sentence.
* Card / Embed: I use it only for primary tools or visual diagrams where seeing the rich preview directly adds value to the reader.

2. "Self-Contained First" Principle

Documentation should never rely solely on an external link to convey critical information.

* Keep Core Steps Inline: Document the essential prerequisites, commands, expected inputs, and outputs directly on the page so users can complete the workflow without leaving Confluence.
* Use External Links Only for Supplementary Depth: Treat external links as "Further Reading" or "Upstream Source Material" rather than step-by-step instructions.
* Summarize Before Linking: If linking to a 20-minute video or a 50-page spec, include a 2–3 bullet summary of why the user should click it and which specific section applies.

3. Eliminate Link Clutter & Noise

* Use a Dedicated "References & Related Material" Section: Move all non-critical external URLs to a collapsible expand macro or a standardized footer section at the bottom of the page.
* Set Clear Inclusion Criteria: Ask:* Is this resource authoritative (official vendor docs, trusted repository)?
* Will this link remain stable over time?
* Does it directly solve an edge case not covered inline?

If the answer to any is no, leave it out.

4. Standardize Page Structure with Templates

Enforce consistency across your engineering and product spaces by creating a shared Template:

* Assign Page Owners: Use Confluence page properties/owner macros so every reference page has an assigned maintainer accountable for stale links.
* Periodic Audits: Schedule quarterly reviews (or automate using Confluence page analytics) to archive outdated resource pages and prune broken or deprecated external references.

I agree that keeping documentation focused and useful is important. I usually prefer organizing resources by topic and keeping the main explanation directly in the post, with external resources used only when they add something useful.
