How do you manage a social-media content workflow with Jira?

I work in the social-media tools niche, particularly around TikTok, and I’m looking for a better way to organize the different stages of creating and publishing short-form content.

For teams already using Jira, would you recommend creating a workflow where content ideas become Jira issues and then move through stages such as planning, production, review, and publishing?

I’m also curious whether Jira Automation can be used to automatically create recurring content tasks, send reminders, or notify a team when a piece of content moves to the next stage.

Hi Lucian, Viswanathan's workflow split is a good base. Here are the concrete Automation pieces for the recurring and reminder parts you asked about:

* Recurring content tasks: Scheduled trigger with a cron expression, then Create work item, then Create sub-tasks (Script, Film, Edit, Approve, Publish). For example, every Monday at 9:00 is 0 0 9 ? * MON. Put {{now.format("dd MMM")}} in the summary so each week's item has its own name. Use one rule per cadence (weekly trend post, monthly report, and so on).
* Stage notifications: a Work item transitioned trigger (to Review) → assign the reviewer → Send Slack message or Send Microsoft Teams message with the link. Same pattern for Scheduled → notify the publisher.
* Reminders: a daily scheduled rule with JQL such as project = SOC AND status = Review AND updated <= -2d to nudge stuck reviews, and project = SOC AND due <= 1d AND statusCategory != Done for posts due tomorrow.
* After publishing: make a "Live URL" field required on the Publish transition, and have a rule create a follow-up "Check KPIs" task with due date {{now.plusDays(7)}}.

I agree with Mazuzee on keeping the stages few. Short-form content moves fast, and every extra status is a click someone will eventually skip.

Yes, if your team already uses Jira, I’d recommend few work items such as

Content idea, Content post, and Campaign

I’d use different workflows where the work genuinely follows a different lifecycle.

* Content ideas: Ideas > Selected > Rejected

* Content posts: Planned > In Production > Review > Scheduled > Published

* Campaigns: Planned > Active > Complete

* Sub-task: Open > In Progress > Done

A Content post has the most detailed workflow because it passes through several production and approval stages. Ideas should stay lightweight, while campaigns are better used as a high-level way to group and track multiple posts.

In Jira, you can assign different workflows to different work item types, so they can still live in the same project while behaving appropriately.

Jira Automation is useful here too. A few examples:

* Create recurring work items for weekly trends, recurring posts, or monthly reporting.

* When an item moves to Review, automatically assign the reviewer and send a Slack/email/teams notification.

* When an item moves to Scheduled, remind the publisher to upload or set the final post time.

* Run a daily rule that reminds owners about posts due soon or flags overdue work.
