How to report on cumulative values of a custom Number Field?

We are using Jira Service Management as a tool to review potential pieces of chargeable project work, triage them and then track internal and external sign off.

Each ticket has a few custom Number Fields to record the financial value of that work (internal cost and external cost).

I want to do some reporting on this data so we can see the total value of work that we've quoted, how much was won and lost and how much has been delivered.

It's a simple JQL query to identify the tickets in each pot, but how do I report on cumulative totals of these Number Fields? Am I right in thinking that this can't be done in native dashboards so I'll need a marketplace add on, or export the date into a Power BI dashboard?

You're right that native Jira dashboards don't give you a straightforward way to sum up custom number fields across a filtered set of issues. The built-in gadgets (pie chart, two-dimensional filter stats, etc.) can show counts and individual field values, but they won't roll up a "total internal cost" across 50 tickets for you. For that you can either use the Forge Platform for developing a custom App or use tailored solutions from the Atlassian Marketplace

I'm just having a play with "Easy Reports Free" which is allowing me to total up those fields. That'll do for my immediate need, but if there's a need for more in depth reporting I might just get data fed into Power BI (at which point it becomes someone else's job to deliver).

This is not something the native Jira dashboard gadgets support, so you'll most likely need an addon (app).

If you're open to trying an app from the Atlassian Marketplace, our Great Gadgets app provides gadgets that can generate this type of statistics.

Could you share a bit more about how you would like the data to be calculated and displayed? For example, would you like monthly statistics, or a breakdown by team, project, or something else? Or maybe a trend chart?

If you just need this as cumulative numbers (sum of that field), you could use the Advanced Issue Filter Formula gadget to get the numbers displayed on your dashboard. This is just an example:

The gadget is higly configurable. For this example, I used something like this:

But very useful could be also Pivot Table & Pivot Chart gadget (for Excel like stats showing totals, and data split by other fields such as team or assignee) or the Cumulative Flow Diagram (for trend charts).

As you mentioned Power Bi, may I suggest Millarum Dashboards?

This add-on uses the concept of a slicer directly in Jira, where the dashboard is created once and the data can be changed on the fly through the slicer.

Also includes histogram and pareto charts to analyze numerical vales graphically, and the cards widget support the common min, max, sum, mean, mode, median among others.

Here I share an example of a histogram and cards used for reporting purposes. I hope you find it helpful.

As mentioned before, native Jira dashboards can't calculate cumulative totals across Number Fields. For that, you'll need a Marketplace app.

Just to be transparent: I'm part of the team behind Quick Filters for Jira Dashboards.

If you're looking for a lean solution that stays entirely inside Jira, it's worth a look. It can calculate and display sum, average, max and min for Number Fields (for example, internal cost, external cost, Story Points, or any other numeric custom field).

One thing people like is that all configuration happens directly on the dashboard. You simply enter the JQL where you need it—there's no need to create and maintain saved filters, which keeps administration to a minimum.

For your use case I would recommend working with the "Quick Work Items Statistics" gadget, because you could compare multiple number fields for the same JQL within one gadget. In the screenshot below you see results for "Work Item Count", "Original Estimate" and "Time Spent", but you could configure any number field with this gadget.

The Quick Controller gadget above enables you to filter this and all other Quick Gadgets on the dashboard dynamically.

You've got it right: native Jira dashboard gadgets won't total a custom Number field across a filtered set. Gadgets like Two Dimensional Filter Statistics give you counts and breakdowns, but not a summed "total internal cost" over the matching tickets. So for cumulative totals you have two native-ish paths:

Export and total externally. Filter each pot with JQL in the issue search, add the cost columns, use Export to CSV, then sum in Excel or feed it into Power BI, as you were considering.
Formula fields (team-managed projects) can calculate within a single issue, but they can't aggregate across issues, so they won't give you a pot-level total.

If you'd like the totals to stay inside Jira and you're open to a Marketplace app, this is a natural fit for JXL for Jira. Its sum-ups compute the Sum (or Average, Min, Max, Count) of any number field. You can show a running total across the whole JQL-scoped sheet, or group by a field like Status to see quoted vs won vs lost vs delivered totals side by side. It works on Jira Service Management projects too.
