Best practices / Templates for tracking Legal Compliance & Company Registration tasks in Jira?

Hi community!

Our startup has recently migrated our internal task management to Jira. We are currently trying to build a workflow to track legal compliance, tax deadlines, and company registration processes for our clients in the South Asian region.

Currently, our team constantly references external business guidelines like the SECP Portal to ensure we aren't missing any statutory deadlines for corporate filings and annual returns.

Has anyone built a custom Jira project or workflow specifically for legal and compliance tracking? Are there any recommended marketplace apps or templates that can automatically set up recurring compliance tasks instead of us creating them manually every month?

Any advice for non-software teams using Jira would be awesome! Thanks.

Hi @Ggy, on the scheduling side, Jira Automation (native, built into every Jira Cloud plan) can handle the recurring trigger. You can set rules to fire on a schedule (monthly, quarterly, annually) that create work items automatically. This works well for the cadence problem. The native Set to recur workflow is very easy to use even for someone completely non-technical.

Where it gets harder natively is the structure. If each compliance matter, say, an annual SECP filing for a client - involves a hierarchy of tasks (e.g., gather documents → file return → confirm receipt → update register), recreating that structure reliably every time via pure Jira Automation requires chained rules that are fragile and hard to maintain. There's no native way to say "when this automation fires, create this exact hierarchy of subtasks with these specific field values and descriptions" without a lot of complex rule-chaining.

If you're open to a Marketplace app, I'd suggest looking at Templating.app. It lets you build an Issue Template (or Issue Hierarchy Template) for each compliance process, for example, one for SECP annual returns, one for tax filing, one for company registration renewals. Each template can include the full subtask structure, pre-filled descriptions, and variables that prompt for client-specific details like the company name, jurisdiction, or filing deadline at the moment the issue is created. You then wire Templating.app's Automation integration (via a web trigger) to your Jira Automation schedule rule, so the right template fires automatically on the right schedule and creates the full task hierarchy - without you touching anything manually each month.

This also means if your statutory requirements change (say, SECP updates a filing step), you update the template once and every future instance reflects the change.

For non-software teams, Templating.app is really straightforward to set up. The templates are managed centrally, and once configured, team members just see a clean issue creation experience without needing to understand the underlying automation.

Setting up Jira for legal and compliance tracking is a great way to keep your startup organized. For non-software teams, it's usually recommended to create a dedicated Business project in Jira. You can set up custom issue types like "Tax Filing" or "Annual Return" and add custom date fields for statutory deadlines.

One more thing that really helps with compliance work is codifying processes directly inside Jira work items, not in external guidelines your team has to reference every time.

In our team, we use our tool, Smart Checklist for Jira, for this. It lets you list all the necessary steps directly inside the work item as a feature-rich checklist. You can include all relevant details you need for work - there's an expandable Details section for this for each checklist step. In particular, you can add links to external documents like the SECP Portal, include bulleted lists, link related work items, and more. You can also set deadlines for individual checklist items and use custom statuses, such as In Progress / Approval pending / Approved. All this gives you granular control and transparency.

What's also important, you can save any checklist as a reusable template and add it to work items automatically based on your conditions. For example, let's say you have a SOC Audit work item type. The right checklist can be added automatically whenever a new work item of that type is created. You can also trigger it based on keywords, so each new work item with "SOC" in the summary / title gets the SOC Audit checklist attached. All this is done with Smart Checklist's native automation features so you don't need to configure any complex Jira automation rules, which is perfect for non-technical teams.

Additionally, you can save whole work items and work item hierarchies as templates and generate tasks from your templates automatically on a schedule. This can be done with our other solution, Smart Templates, which integrate seamlessly with Smart Checklist. Here's an example of an Audit epic template that includes several tasks and checklists:

As a result, you will have all your processes well-documented and organized in JIRA in a set of reusable work item templates and checklist templates. This ensures consistency, as you know that everyone will follow the same set of steps every time. Also, there's a dedicated history tab that allows you to track changes and create timestamped evidence, which serves as an audit trail.

Without knowing the exact structure of your company teams and Jira setup, I cannot recommend a precise Jira configuration based only on the information in your post. However, let me share a general concept that you could adapt to your needs.

Let’s assume you have one group of compliance activities that must be completed every month and another group that must be completed every six months.

For the monthly activities, you could create a reusable template consisting of an Epic and its child work items, with each work item representing a specific task that must be completed during the monthly cycle.

You could then create a separate Epic for the semiannual process, containing all the child work items that must be completed every six months.

Each template could include:

links to relevant legal guidance and documentation,
links to document repositories,
instructions for completing each task,
assigned responsibilities or roles,
designated places for recording evidence and attaching required files,
review and approval steps,
and any other information required to complete the process consistently.

These templates could be stored in a dedicated Jira project. When a new compliance cycle begins, you would clone the appropriate Epic and its child work items into the relevant project, assign the tasks to the responsible people, and update the dates and other details for that specific execution.

The structure itself can remain simple and natural for Jira: an Epic representing the complete process and child work items representing the individual activities. The main challenge is ensuring that the correct structure is created at the right time.

Depending on the complexity of the process, Jira Automation may be sufficient to create the required work items according to a defined schedule. Alternatively, you could use a cloning app such as Clone Expert for Jira. It allows you to preview and customize the structure before cloning, select all or only specific work items, update fields individually or in bulk, assign users, choose the destination project, and use placeholders to customize the new work items. An Auto Clone Scheduler in Clone Expert is currently planned for release in August, allowing users to schedule one-time or recurring cloning of complete structures.

Manually creating the same compliance tasks every month is time-consuming. You can automate this using our app Deep Clone for Jira in combination with Jira's native automation:

Create template work items: Set up a "Template" space, epic, or work item containing all the standard processes.
Use presets: With Deep Clone for Jira, you can create Presets for these recurring activities. This ensures that when an epic or task is cloned, all relevant descriptions, components, and subtasks are preserved.
Schedule with Jira automation: You can set up a Scheduled trigger in Jira automation (e.g., "Every 1st of the month") and use the Deep Clone - Single Clone action to automatically create the task from your template.
