How can I use Jira to manage content for a gaming website?

I'm managing a gaming website, where I publish guides, tutorials, and Nintendo-related content. As the amount of content grows, I'm considering using Jira to organize my workflow.

I'd like to know:

Is Jira a good choice for managing website content instead of software development tasks?
Which project template works best for tracking articles and updates?
How do you organize content using Epics, Stories, and Tasks?
Are there any recommended automations for tracking article progress from draft to published?

If anyone is using Jira for website or content management, I'd appreciate seeing your workflow or best practices.

Yes, Jira can manage the content production process, although it isn’t a Content Management System (CMS). With the unified Jira platform, you can create a business project using a Project Management template and customize workflows, issue types, automations, and dashboards to manage the entire editorial lifecycle from idea to publication.

Jira is a single platform that supports:

Business teams (Marketing, HR, Finance, Legal)
Software development teams
Project management
Task tracking

From a reporting and metrics perspective, dashboards become extremely valuable.

One thing I always encourage is avoiding overly complex workflows. Keep the workflow simple enough that the team enjoys using it, then use automation, permissions, and dashboards to enforce consistency rather than adding unnecessary workflow steps.

Automation examples:

Automatically assign articles to right group when writing is complete.
Notify reviewers when an article moves to Ready for Review.
Set due dates based on the planned publish date.
Flag articles that remain in review beyond a defined SLA.
Send Slack or Microsoft Teams notifications when articles are published.

Jira can absolutely become the operational hub for a growing platform when designed well and absolute benefit to engineering and business.

My honest opinion : Confluence can publish content internally (and in some cases externally), but it isn’t intended to run a marketing website or gaming blog.

Heya @TomodachiLifeROM - I agree with @Viswanathan Ramachandran , you can certainly use Jira to manage your content. Unless you have a specific need for the more premium features, a free instance could support you fairly well.

Jira can track any kind of work... historically it was intended for software-related stuff, but anything can be represented.

Which project template works best for tracking articles and updates?

Depends a bit on your process. e.g. do you use Scrum? if so, the scrum template One thing to keep in mind is everything in the template can be changed later. It's also very important to think through your process BEFORE you start using Jira. I recommend writing it down on a whiteboard/bit of paper so you understand things like the workflow (e.g. are there specific statuses you need to track? review stages? etc). Once you understand it conceptually, then you can choose the best template/setup in Jira.

How do you organize content using Epics, Stories, and Tasks?

good question! "Story" typically refers to something in AGile projects management, so you might be able to ignore it.. "Task" is likely the best bet for an individual article (although you COULD make a Work Type called "Article"). Each task would keep track of everything about that one article/guide/whatever. Epics could be by specific game, time period, or some other bigger bucket to organize the things you're creating.

Are there any recommended automations for tracking article progress from draft to published?

This largely depends on your process and what you need to do. e.g. when you complete a story, you could have it automatically shoot someone an email letting them know... recommend you think through what you want to do and then consider what is "click-heavy" so you could automate.

Also tagging my friend and fellow Champion @Kythera - she uses Confluence and Jira to manage her portfolio and personal projects, I bet she'd have some ideas.

I previously worked in the gaming industry, and we also used Jira, although in a very basic way. Looking back, I can see that we could have used it much more deeply for content planning, reviews, approvals, release-related updates, and coordination between different teams.

For example, you could set a target for completing an editorial review within 24 hours after an article is submitted, preparing an urgent guide within a few hours after a game update, or publishing content before a specific release date.

I also have the same question, especially about whether Jira remains practical when the work being managed is primarily editorial rather than software development. A gaming website can still have a fairly complex workflow because an article might go through research, drafting, editing, screenshots, SEO checks, fact checking, publishing, and later updates, so having everything organized in one place could be useful. I would be interested in seeing how others structure this without making the Jira setup unnecessarily complicated. This could also apply to gaming topics such as astute beta, where a team might want to track separate research, screenshots, updates, and publishing tasks for one particular topic without mixing them together. If your tasks center around rich, detailed content, managing them in Jira can feel like fitting a square peg into a round hole. Confluence is fundamentally built for rich content. You can eliminate context switching and gain a unified space where content and task management seamlessly coexist.

Recommended workflow could be:

Content Creation: Draft, design, and collaborate on your content directly within Confluence pages.
Task & Status Tracking: Track progress right on the page using page status, expiration dates, inline tasks, custom page properties, etc.
Streamlined Publishing: Publish final content straight from Confluence to your target destination.

Hi Kim (and TomodachiLifeROM), I've set this up for small editorial teams. Here's the lightest structure that still answers "what's planned, what's being written, what needs review, what's live":

Space: a business (Jira Work Management-style) space. If you see the Content management template, start there. Otherwise a plain task-tracking template is fine. You'll get a board, a list, and a Calendar view, and the calendar is the view editors end up living in.
One work item = one article or guide. Rename or add a work type called Article. You don't need Stories. That's software vocabulary and it adds nothing here.
Epics = series or content areas (e.g. "Zelda: TotK guides", "Switch 2 news"). That's the right level. Don't go deeper unless a series has its own deadline.
Subtasks only for handoffs. If screenshots or SEO are done by a different person, make them subtasks so they get their own assignee. If the writer does everything, a checklist in the description is enough.
Workflow: Idea → Planned → Writing → In review → Published, plus a Needs update status that loops back to Writing. Five or six statuses is plenty.
Fields: Due date = planned publish date (this drives the calendar), a URL field for the live link, a date field Last reviewed, and labels for platform or game.

The one automation I'd add first handles your "later updates" point:

When an item moves to Published, set Last reviewed to {{now}}.
A monthly Scheduled rule with JQL status = Published AND "Last reviewed" < "-90d" moves those items to Needs update and assigns them back to the author. Old guides then come back to you on their own instead of going stale.

Everything else (review notifications, auto-assigning editors) can wait until the team has used the basic flow for a few weeks.
