How to ensure Project Admins have the right skills / knowledge

I find that we have many projects where there are too many Project Admins - it looks like an existing Project Admin gives other project members the Project Admin access, when they almost definitely don't need it.

So, what ways do people control who gets Project Admin access, and how do you ensure that they have, and continue to have, the appropriate skills to be an admin?

Also, how does one obtain a list of all Project Admins across all projects?

its often a topic. In my opinion there is not a one thats fits all. Some topics you can consider. 

1. Define Roles and Permissions

   • Custom Roles: Create custom roles in Jira or Confluence that align with your organization's needs. This allows you to define specific permissions for Project Admins and limit access to only what is necessary.
   • Permission Schemes: Use permission schemes in Jira to control who can be a Project Admin. You can set up different schemes for different projects based on their requirements.

2. Approval Workflow

   • Request Process: Implement a formal request process for gaining Project Admin access. This could involve filling out a form that requires justification for the access.
   • Approval by Senior Admins: Ensure that requests for Project Admin access are approved by a senior admin or project lead to prevent unnecessary access.

3. Regular Training and Skill Development

   • Atlassian University: Encourage Project Admins to take advantage of Atlassian University, which offers training courses on best practices and tool usage.
   • Internal Workshops: Organize internal workshops to share knowledge and skills among Project Admins.

4. Access Reviews and Audits

   • Regular Reviews: Schedule regular reviews of Project Admin access. This can be done quarterly or bi-annually to ensure that only those who need access retain it.
   • Audit Logs: Utilize Atlassian's audit logs to track changes in permissions and access levels. This can help identify any unauthorized changes.

Check the permissions, get all groups and roles that have project admin permission .
