Options on how to manage a Jira story that has multiple users

Edward Mossa

I am going to have many Jira stories moving forward that have multiple users needed to complete the story but want to insure that they will get recognition for their contributions. I am using sub tasks currently and assigning it to the responsible user.

Also how to insure that my dashboard gadgets reflect this too.

Hi @Edward Mossa

I believe you're doing great by utilizing sub-tasks and assigning them to the responsible users. This is a great way to ensure that everyone is accountable for their own tasks.

Here’s what I’d suggest to take it further:

Use Components or Labels: You could add components or labels to the sub-tasks based on the specific role or contribution. This way, you can filter and visualize their work more easily in reports and dashboards.
Custom Fields: If you need more granularity, consider creating a custom field to track the users contributing to a story. You could create a multi-user picker field to list everyone involved, ensuring that their names are attached to the main story for visibility.
Dashboard Gadgets: For the dashboard gadgets, I recommend using gadgets like the Filter Results or Two Dimensional Filter Statistics. These will allow you to filter by assignee and sub-tasks, so you can easily see who’s doing what.

It’s all about making sure your processes are set up so that no one’s effort slips through the cracks, and it sounds like you’re well on your way.

Hope this helps!

Sub-tasks are the way to go here IMO so you are already on the right track. You can certainly illustrate sub-tasks in dashboard gadgets.

Hello! New to this and looking for how to assign multiple users to a task/story/epic. How would we set up the multi-user picker field to list everyone involved? @Vitalii_Bobak_SaaSJet

Hi @Anna Torrence, welcome to the community!

To set up a multi-user picker field in Jira and effectively manage tasks with multiple users, you have a few options:

Using Sub-Tasks for Assignments:
- Create sub-tasks under the main story, and assign each sub-task to the respective user responsible for that part. This approach makes it easier to recognize everyone's contributions individually.
- For a comprehensive explanation on managing sub-tasks, check out: Atlassian Guide on Sub-Tasks.
Custom Fields: Multi-User Picker:
- You can configure a custom multi-user picker field to list all users involved in the story. Here’s how to set up custom fields in Jira: Custom Fields Setup Guide.
Components or Labels for Filtering:
- To add clarity, use components or labels on tasks to indicate roles or contributions. These can be useful for filtering in reports and gadgets.
- Learn more about using components: Using Components in Jira.
Dashboard Gadgets:
- Use gadgets like Filter Results or Two Dimensional Filter Statistics to visualize assignments and track progress. You can filter by assignee and see the status of sub-tasks.
- Here's how to set up and customize your dashboard: Jira Dashboard Gadgets.

Hope this helps you set things up smoothly! Let me know if you need further assistance or additional resources.
