Confluence automation, is it possible to send a email to participant list in meeting notes template

Question

Using Confluence automation, I am able to send an email to a list of nominated people within the "Then: send mail" step . I am trying to find a way, using the default meeting template where all the persons in participant section should receive email the mail automatically.

Hi, @Martin Grealish! 👋

This is possible to a degree using the User mentioned trigger in Confluence automation. You can create a rule with:

When: User mentionedThen: Send customized emailRecipient: {{user.emailAddress}}

This sends an email to each user when they are @mentioned on the page. However, there are a few important limitations:

It reacts to all users mentioned anywhere on the page, not specifically those in the Participants section.

Mentioning yourself does not appear to trigger the rule, so test it by mentioning another user.

{{user.emailAddress}} may return blank if the mentioned user’s email visibility settings prevent automation from accessing it. Atlassian notes that email smart values can return no value depending on profile visibility.

Another option is to use assigned action items instead of ordinary mentions. The Task created trigger runs when someone is assigned a task, and the recipient can be set to: {{task.assignee.emailAddress}}

This works well when the email is intended for people who have an actual follow-up task, rather than every meeting participant.

So it is workable, but it is not yet a true "email everyone listed in the Participants section" function.

Hope this helps! 🧡
