Dashboard overview over all employees except personal kanbanboards

Dear Community,

I created a Dashboard in our Confluence-Page for Management to view all jira events/tickts of each employee. For every employee there is a personal filter saved. I created a global dashboard to see all these tickets and the status.

Every employee has its own kanbanboard to have a overview over the personal todos additional to the tickets in other boards, e.g. Marketing. So after a checkup everything works, BUT: Management can see also the personal todos which shouldn't be. The personal kanbans are on "private". But after assigning the tickets with myself (on my board for example) it is visible on the global dashboard.

Hopefully anybody can help - all employees should have a personal area in confluence with their personal kanban todo-board :-)

Boards are just a way to view and manipulate issues. The issues themselves exist in Projects.

In order to prevent others from seeing issues that you see on your "private" boards. you need to change the permissions on the Project(s) in which those issues exist.

If Management has permission to see the issues in their source Projects then it doesn't matter if the issues are are displayed on a board that Management can't view.

So yesterday I changed the filter settings, that all tickets on other boards are visible except my private board. This is one solution. But the employees who can change the settings of the dashboard, can add the private boards again without any message to the owner of the private board. So this is not the best solution.

You explained that the permissions of the management board are the reason. Just to remind: The private board is set on "private", the issues are still visible on the Dashboard of the management. When I do not assign me with the issue it is not visible in my filter on the management dashboard but it is listed on the allover list "unassigned".

So can you explain - step by step - how to solve this problem? Best way would be if the owner of the private board can change this settings in their own board, without accessing the management dashboard settings - in that case it is ensured, that anybody else cannot change this.

Hi @Sascha Schäfers,

Setting the visibility of a filter or a board does not impact the visibility of the issues. It just impacts the given that a user can / cannot access the specific saved filter or board and those - as @Trudy P Claspill tried to explain correctly - are totally separate things from the actual issues.

If you want to make sure that your management cannot see certain issues, you need to restrict access for those management users in the projects where the issues are stored.

Look at the issues you want to restrict and see in what project they are. Then, via project settings make sure that management does not have access anymore. Depending on the types of project you are using, this is managed differently. In team managed projects, check access. In company managed projects, check permissions and people.

Hi Walter,

I am not sure I understand you correctly but in my words filters are not the solution to keep the management distanced from private tasks in personal boards. If so thats a point I know.

In the last part of your answer you said that I have to have a look into the personal board settings. There are all boards "team managed", also my personal board. In settings - access the board is set on private and I am the only user in this board (see attachement "board". But even in this settings, when i create a task with me assigned, it will displayed on the dashboard from the management (on the global dashboard not on the kanban-board of management!) Only when I set the filter on the dashboard as the admin, I can exclude my private board "saschas todos". Hopefully you understand what I mean.

In summary I am looking for a setting that I can set my private board on "private" and all tasks I create on that will never displayed anywhere else - and it doesn't matter how any filter is set or any other possibility to see other ones tasks allover the company.
