Automating project creation with existing templates | mail notification spamming issues.

Hi,

We are facing several issues, i will describe them one by one.

1. In our organization there are many project managers / leads, each of them create a project in Jira - we would like to automate the 'Share existing with an existing project' button

2. I dont know if someone implemented it , or it is default but when some user when they reply to an email, comments are automatically added to jira issues... strange behavior...

Will be glad for insights....

Regarding point 1: While there is no native way to enforce the 'Share settings with an existing project' you might look into apps like ours Project Templates for Jira.

It's built for your use case as it allows you to create a set of custom project templates where you can specify all the configuration you need and also what content (components, issues...) to clone from the existing issues. Way more options than the native 'Share settings with an existing project' checkbox.

Afterwards you can just give a certain user group permission to create projects, but only based on this specific custom project template. Therefore you avoid giving unnecessary admin permission to too many users and avoid instance cluttering with unused schemes.

1. It is not possible to automate the setting of the "Share settings" button.

That button becomes available only when Company Managed projects are being created, and Company Managed projects can be created only by individuals who have been granted the Administer Jira global permission. If you have "many project manager / leads" that have been granted that level of access, that is probably not the best decision. The ability to administer Jira should be reserved to a small number of people who understand the impact of the changes that can be made by Administrators.

If you want to allow more people to request/create Company Managed projects based on templates for the settings, consider this third party app:

I used the app in a Jira Data Center environment at an international/10k+ organization and found it to be very helpful in controlling project configurations.

If these project managers/leads are not currently granted Administer Jira permissions but are able to create projects, then they are probably creating Team Managed projects. Team Managed projects are not capable of sharing configurations, as they are meant to be stand-alone to enable the Project Admins to customize the projects.

2. This is default behavior for Jira. You will find under Jira Settings > System > Incoming Email that there is a Mail Handler preconfigured to provide that functionality for all projects.
