2.  List all items within the scope on the agenda

4. Start the meeting 5 minutes after

5. Identify who to invite

  1. Clear, focused meeting agenda preferably in the order it is going to be discussed with members of the meeting 
  2. Duly-inform the members before setting up a meeting and check their availability (this corresponds to all members required for the meeting)

  • Have an agenda for the meeting. Let there be a purpose of hosting that meeting
  • Let the meeting be impactful, the attendees should have something to benefit from the meeting at the end
  • Preparations; familiarize yourself with the necessary tools that will be made use if in the meeting so as not to having difficulties with handing if some softwares.

The three important things needed to run an effective meeting are:

 

1) A meeting agenda that can be created with Confluence.  The agenda will assist with establishing the intent of the reason, as well as list out the topics that will be discussed within the meeting.

2) A time box will assist with honoring the teams' time and keeping the team engaged.  A parking lot should be used in association with a time box, just in case there are new topics that need to be discussed or an additional understanding on current topics.

3) Detailed notes are required and should be shared with everyone, to guarantee that everyone is accountable for their assignments within the team.

1. Create an agenda with timeboxes and publish in the invite.

2. Stick to the timeboxes for each agenda point - create follow-up meetings or action items for discussions/ideas that are time-consuming. 

3. Make sure all participants interact in the meeting, if action items are created make sure they are reviewed in the start of the next meeting.

1. Define the goal or objective for the meeting before you schedule or organize it

2. Create a time blocked agenda that is shared with participants with the meeting invitation

3. Facilitate the meeting by keeping to the agenda, allowing for deviance where necessary and moving off-topic or more in depth items to the "parking lot" (returning to it at the end of the meeting or exploring whether another meeting ro collaborative tool is necessary)

We always default in meetings however, new ways to collaborate & build our own meeting decision tree as a working agreement to promote other meeting behaviour.

Follow-up

Also, to keep attendees engaged: Use time boxes, follow up the agenda rules (Very Key) & use a parking lot to save a new topic for a later.

1. Before scheduling the meeting, think about the meeting purpose and define the agenda. "Do I really need this meeting?". Share the agenda upfront.

2. Who should be the participants? Will they add value to the meeting or just listener? Add everyone as optional and let the participant decide based on your meeting agenda;

3. Define meeting roles - scribe, time keeper, presenters. Use "Parking Lot" for future decisions.

1. The objective/agenda for the meeting should be clear and pre-defined.

2. It should provide value to the people who are attending that meeting.

3. Engagement of the participants through out the meeting should be there.

  • Set the agenda and share beforehand
  • Assign a note taker
  • Timebox topics to a max 15 mins each and keep the conversation moving
  • Ensure there are clear next steps
  • Recap what was accomplished

Define the meeting agenda.

Keep an eye on the meeting end time.

At the end of the meeting, make sure that all the targeted topics are covered and action items are put.

Everyone's comments are great so trying to find something else...

I liked starting 5 minutes after the hour on meetings to make myself more disciplined as well as be a breath of fresh air for others. 

 

Keeping the meeting minutes and having "to do" items for people I think also helps focus the meeting and encourage participation as well as preparedness.

 

A real agenda not a form is also key. So taking extra time to make it relevant is important.
