Hello Trello Community,

I'm reaching out to gather insights and solutions for a few aspects of Trello board management that I'm currently navigating. Any advice or guidance you can provide would be greatly appreciated. Here are my detailed queries:

  1. Board and Task Recovery: Is there a way for a board admin to recover a board or task if a member accidentally deletes it? What steps should be taken to ensure that important board data can be retrieved in such instances?

  2. Attachment Limits: As part of our project management, we frequently need to attach various documents to our Trello cards. Could someone clarify the maximum number or size of attachments allowed per card or board in Trello? Are there different limits based on the type of account (e.g., free vs. paid plans)?

  3. Cloud Backup: What are the best practices for backing up all the information from our Trello boards to the cloud? I want to ensure that all our project data is securely saved and easily recoverable in case of any data loss. Are there specific tools or integrations within Trello that facilitate automatic cloud backups?

Thank you for taking the time to help with these questions. I look forward to your valuable suggestions and learning more about optimizing our use of Trello.

Hi Lillit,

Thanks for reaching out!

Board and Task Recovery

Is there a way for a board admin to recover a board or task if a member accidentally deletes it? What steps should be taken to ensure that important board data can be retrieved in such instances?

If a board or card is permanently deleted, there is no way to recover that data.

Any 'normal' board member will be able to archive and delete cards, but only board admins will be able to close and delete the board.

To ensure board members cannot delete cards, we'd recommend setting them to 'Observer'. Observers are not able to move or edit cards, upload card attachments, tick the box on a checklist item, and observers can't change board settings.

Attachment Limits

Could someone clarify the maximum number or size of attachments allowed per card or board in Trello? Are there different limits based on the type of account (e.g., free vs. paid plans)?

The maximum number of attachments you can have per card is 1000, and per board is 36000. You can find all limits here: https://trello.com/1/resource/limits (we'd recommend using a JSON viewer so it's readable).

There is a 10 MB file upload limit per attachment for free users. However, paid members have a 250 MB file upload limit per attachment. There is no account data storage limit in any Trello plan.

You can read more here: https://support.atlassian.com/trello/docs/adding-attachments-to-cards/.

Cloud Backup

What are the best practices for backing up all the information from our Trello boards to the cloud?

Are there specific tools or integrations within Trello that facilitate automatic cloud backups?

We back up all the information on our servers every hour, although this information is not user-facing. We will restore this backup if something happens to your data on our end.

As for personal backups, we’re definitely pro-data-portability and want to make sure our users can access and export their data. However, to clarify, it's not currently possible to re-import a manually exported board back into Trello.

If you're interested in a third-party solution, you can find third-party Power-Ups here: https://trello.com/power-ups/search?q=backup.

For a more native option, Trello has export features where you can export a board in JSON format, or CSV format (on Premium and above). You can read more here: https://support.atlassian.com/trello/docs/exporting-data-from-trello/.

If you have technical resources (and Premium or above), you could also set up automated backups via the API, using these endpoints:

Trello Trust is a comprehensive overview of our security policies and procedures (data backup, servers locations, encryption etc.). This page covers our overall data practices and is applicable to all Trello users.

I hope that helps!

All the best,

Lara
