1-Create a meeting agenda
As part of the agenda have a 'parking spot' time to gather new topics for next meeting
Always close with action items
2-Engage everyone in the meeting, not just share information by yourself
3-Use Jira dashboards to track completed task and use calendars for deliveries
It always amazes me how it is 2024 and I still get meeting invites with no agenda and only dial in or connect details.
In my humble opinion, this has to be the #1 way to assure a meeting will go immediately off track as how can you expect people to join and not ask - "What is this meeting about??" :)
Yup ~ totally agree, @Craig Reino ! And I'm always tempted to decline if there's no agenda. They end up being a waste of time and another meetings is required. yikes ~ no time for that!

Right. No agenda -> No meeting. Except from Friday 5pm until Weekend is over :-)
I have set a standard within my team to put a POST on every invite they send.
Purpose | What is this meeting about? |
Objectives | What do we expect to accomplish during this time? |
Structure | In person? Virtual? Maybe there's an agenda |
Time | How long are we meeting? |
I found this makes it clear to everyone what we are doing, why we are there, what they can expect, and for how long. Then, everyone comes to the meeting "on the same page." I also try to stick to the 25 min / 50 min rule when setting meetings so we don't all run into back to back meetings all day! It's so important to have that break.
