Approval functionality without expensive plugins

Hi,

I want to implement a simple approval functionality.

Everbody can register as a confluence user and make suggestions for new content or edit pages.

Pages are not visible to other users until they are approved by admin.

Admin uses a list of pages to be approved. Once he does so, page is visible to all users.

 I need a simple, free solution for this - Comala.... are too expensive for our association.

Free suggestion:

Have a separate space for draft content.

  • Admins and approvers would have access to this space.
  • Track your approvals in a table in this space. Include an approval and comments column for manual collaboration.
  • Once an item is approved, use the move page functionality to place it into its final destination.

Keeping this content in a separate space will save you the hassle of restricting all the draft pages.

Another question: how can I enable that users browse through the approved content and when they edit a page this is done in the draft content?

Draft content shall be visible for the user how made the changes.

@Wolfgang Göbl If you need users to review and edit the pages, you can do one of the following:

  • Utilize the status column in your table to identify content that needs reviewed
  • Add review labels on pages, then expose a labels list on your parent page
  • Create an open task on each page, then add the task report macro on your parent page.
  • Approval status could be in your page title: Draft - page title

Note: The users would be viewing published pages in your 'draft' space. They won't be able to view 'true drafts'.

All of your content in this space would be visible to your admins and approvers. You would have the ability to restrict view access to these pages one-by-one if you want to go that route.
