Weekly Wonder: Enhance User Engagement with Pre and Post-Meeting Surveys

Hi CUG members!

This week, we're diving into a new challenge: using pre and post-meeting surveys.

"How can I best use pre and post-meeting surveys to gain insights into the topics of interest among our users?"

As you navigate the challenges of managing CUG meetings for the month, quarter, or even the year, understanding the interests of your users becomes important. Surveys can be a powerful tool in this process. Here are some actionable strategies to effectively use pre and post-meeting surveys to enhance your content planning:

Pre-Meeting Surveys

  • Gather Insights on Topics: Create a short survey at minimum 4 weeks before your meeting to ask users what topics they’re most interested in discussing. This not only helps you tailor the agenda but also ensures that participants feel their priorities are being addressed.

  • Identify Pain Points: Include questions that allow users to share their challenges or questions related to Atlassian tools. Understanding these pain points can guide your content calendar toward providing relevant resources and solutions.

    • For example - “Are there any specific challenges or pain points you are currently facing with Atlassian products that you would like addressed during the meeting? (please provide details)”

  • Encourage Participation: Let your users know that their input shapes the meeting's content. This will encourage more responses and make them feel invested in the discussion.

Post-Meeting Surveys

  • Feedback Collection: After the meeting, send out a survey to gauge how well the session met your attendees' expectations. Ask for feedback on specific topics covered and whether they felt their questions were adequately addressed.

  • Topic Ranking: Include a section where attendees can rank potential topics for future meetings. This will help you identify the most pressing interests and create a content calendar that aligns with user needs.

  • Suggestions for Improvement: Encourage attendees to suggest improvements for future meetings. This feedback can enhance your approach and keep sessions engaging and productive.

By implementing these strategies, you can effectively leverage pre and post-meeting surveys to better understand your users' needs and keep your CUG meetings relevant and engaging. Check out our survey templates in our All-in-One Kit to use at your next meeting.

We’d love to hear your thoughts! How have you utilized surveys in your meetings? What ideas do you have for improving engagement with your attendees? Share your experiences in the comments below!
