Hi Atlassian Community,

We’re in the process of planning the removal of BigPicture from our Jira Cloud instance. While we have considered alternative solutions for some functionalities, we’d like to validate our understanding of the potential impact and ensure a seamless transition.

Here's what we've planned so far:

  1. Workflows: We suspect that workflows may be impacted if any BigPicture-specific configurations exist.

    • Does anyone have experience with this?

    • Were there dependencies to address after removal?

  2. Screens and Fields: Similarly, we’re concerned about any custom screens or fields tied to BigPicture use cases.

    • Would these remain intact, or should we prepare to reconfigure them?

  3. Gantt Charts & Hierarchy (Data Transition): We plan to transition Gantt chart management to Jira Advanced Roadmaps (Plans) and implement a new hierarchy in Jira to support this.

    • Any advice on structuring a clean hierarchy during migration?
  4. Dashboards: We’ve accounted for creating new dashboards at each level to replace those impacted by BigPicture.

    • If anyone has best practices for designing dashboards for portfolio-level reporting, we’d love to hear them!

  5. Permissions and Roles: Our plan includes modifying or creating new groups and roles to handle permissions adjustments after BigPicture’s removal.

    • Are there any specific pitfalls to watch for here?

Lastly, we’d like to confirm if there are any risks we might be overlookingβ€”especially regarding automation rules, linked data, or other system dependencies.

Any shared experiences, recommendations, or best practices would be greatly appreciated as we navigate this migration!

About how many BigPicture boxes do you have? Just curious

I would encourage you to check a few cases where you know the tool is used the most broadly. What I mean by that is where most or all of the modules are used, if they are all used in any cases. https://bigpicture.one/products/bigpicture/ 

For example, are you using the risk matrix? Do you have another solution to manage risks? 

Are you using the resource management module? This is typically a huge dependency (in my experience with customers) so you might need to replace BigPicture with another app to do scheduling, time management and work planning. 

On the Jira side, I don't see removing BigPicture having such a big impact on things like workflows. Screens, yes, because there are a number of custom fields that come with the app. 

I would recommend, if you haven't already, to reach out to BigPicture if they have any support or guidance they can offer about removing the app, dependencies and other things to consider as they should be the experts on the product https://marketplace.atlassian.com/apps/1212259/bigpicture-project-management-ppm
